Requirements document
A project document that defines in writing what software will do, for whom, under which conditions it will work and its acceptance criteria.

Why it matters
Written requirements are the common basis for the quote, the timeline and acceptance testing, and they prevent “we thought you would do this too” disputes. A good document is not just a feature list; it also covers user roles, business rules, integrations and performance and security expectations.

Example
The document prepared for an ordering app states with whose approval and within how many days returns are processed. During development this rule is not debated; it is simply implemented.

Common mistake
Getting quotes based on a one-sentence request such as “we want an e-commerce site”. The quotes cannot be compared and a scope dispute becomes almost inevitable.
