Why it matters
With software as a service, installation, servers, updates and backups are the provider's job; you use it in the browser and pay a subscription. It offers a quick start and predictable cost. In return, where your data is stored, whether it can be exported and how dependent you become on the provider should be assessed in advance.

Example
An accounting office leaves the program that ran on a server in the office and moves to a cloud-based accounting service. The team can work from home, updates arrive automatically, and a monthly subscription replaces the cost of server maintenance.

Common mistake
Not asking how data can be exported when signing up. If you cannot take your data with you when you want to switch provider or escape a price rise, you have no bargaining power left.
