We do the same data entry every single day — what does workflow automation mean, where to start?

We are a 6-person home textiles wholesale and retail business in London. Part of our sales comes from our e-commerce site, and part comes from wholesale orders. Every day, we manually copy and paste orders arriving in our e-commerce dashboard into our accounting software for invoicing and inventory deduction, as well as into our warehouse tracking spreadsheet.

Right now, two of our team members spend at least 3 hours each day just shuttling this order and customer data between systems. That results in roughly 130 hours of wasted labor per month. On top of that, we end up dealing with return shipments and customer complaints on at least two or three orders a week because an address or product code was copied wrong.

What does workflow automation actually mean, and what real problems does it solve? Should we hire an external software agency, or can we sort this out ourselves using no-code cloud integration tools?

Short answer: Workflow automation is the hands-off execution of repetitive, manual data-transfer and trigger tasks between systems by software, based on predefined rules. In your case, when a new order comes in, the accounting invoice is issued and the warehouse gets the fulfillment notice within seconds without any human intervention.

As a first step, map out your processes end to end. Do not spend money on any tool until you have complete clarity on what data moves from where to where. Draw out the steps on paper sequentially: order confirmation email to the customer invoice entry in accounting picking order in the warehouse, and so on.

Paying thousands of pounds to custom software agencies is often an unnecessary expense for small businesses. Today, out-of-the-box cloud integration platforms allow you to connect your e-commerce site and accounting software without writing a single line of code. These systems run on visual flowcharts and usually cost just a small monthly subscription.

If you do decide to work with an agency, the most critical factor is ownership of the workflows. Every automated scenario must be set up under accounts registered in your name so that if you part ways with the agency, you can still manage and edit your own processes.

Don't try to automate the whole process by tomorrow. Start with the single step that drains the most time; for example, build just one scenario that automatically creates a draft invoice in accounting whenever an order comes in. Test that initial step for a week until the error rate hits zero, then move on to adding warehouse notifications.

we had an agency build a custom integration two years ago too the guys delivered such a black box that when the accounting software updatted everything broke. honestly definitely go with standard cloud services over custom code saves you the headache.

Automation isn't a silver bullet; it runs into serious trouble with edge cases. If a customer enters an incomplete address or an out-of-stock item gets sold, the system might not catch it and issue the wrong invoice. So unless you put human review filters in place to catch exceptions, returns might actually go up.

Have you checked whether your accounting software supports an external API for incoming data? Some older desktop accounting packages can't communicate with cloud services directly, and if that's the case, you may need to migrate your accounting setup to the cloud first.

The golden rule of process automation is to never automate an inefficient process. The reason it takes two people three hours a day might just be redundant approvals or overcomplicated forms. Streamline your order flow first, then hand that simplified process over to software.

If you are going to work with an outsourced resource or an agency, make sure these three clauses are in the contract: 1) All accounts where the scenarios are run must be registered under your company's name. 2) At least 6 months of free maintenance must be provided for API changes. 3) There must be an automated emergency email alert triggered whenever an integration breaks down.

I have a question. The system lives on after delivery; maintenance is a separate line item.

If scope grows, either time or budget must grow. There is no third option. Hope this helps.
