we're a boutique digital marketing and web design agency of 5 based in Berlin. honestly as the business grew, our operrational workload exploded. we draft around 20-25 proposals every month, bill the approved projects and chase down client approvals over email. right now proposals live in one place email threads in another, and invoicing and delivery tracking are completely manual.

when we look into process automation tools we're hit with hundreds of bloated platforms and subscription fees running hundreds of euros per month. our team budget is capped at around 120-150 EUR/month. a few tools we eagely bought in the past had such confusing interfaces that everyone just retreated back to email and spreadsheets within two weeks.

Stop buying new tools immediately. First, grab a sheet of A4 paper and map out every single step in boxes from proposal intake to invoice issuance. Identify which steps require human judgment and which are just copy-pasting data. Only automate the copy-paste steps.

Automation doesn't fix a broken process; it just runs a broken process faster and in the dark. If you don't standardize your proposal template and pricing logic into a single format first, whatever automation you build will just blast out automated emails to clients with the wrong numbers.

a simple webhook-based connector will do the trick don't bother with huge software suites then i mean just have a trigger for when a proposal is aproved that's enough check the rest manually.

Last year we tried to automate everything; we set up a flow where marking a proposal as closed automatically sent the client a thank-you note and an advance payment invoice. An employee accidentally marked a rejected proposal as approved and we got into a huge mess with the client. Never eliminate human approval completely.

Don't let it intimidate you, for a 5-person team the most sensible approach is micro-steps that send a notification when a form is filled out and log the row into a spreadsheet. You can set it up in a single day and start seeing the benefits the next day.
