We run a B2B export business manufacturing industrial packaging materials targeted at the US market... like our English website has around 80 pages, and we want to boost organic visibility across our product categories. We’ve been talking to various agencies and independent consultants for about two months.

The quotes we're getting are mind-bogglingly inconsistent. One agency quoted 400 USD a month promising a turnkey package, another wants 1,500 USD while an enterprise-focused agency starts their pricing floor at a minimum of 4,500 USD... When we look at the proposals, they all claim to do keyword research, technical SEO and link building—on paper the scope looks almost identical.

As a company, we can budget around 1,500 to 2,000 USD monthly, but we don't really understand what we're actually paying for. tbh when calculating SEO pricing, what are the core dynamics that determine a reasonable fee, and how can we formulate what we actually need?

When evaluating quotes, you can break the costs down into these three key components:

1) Specialist hours: The effective hourly rate of an experienced SEO strategist targeting the US market runs between 75 - 150 USD on average. An 80-page B2B site needs at least 10-15 hours of strategic and technical optimization per month. That translates to a baseline of roughly 1,000 USD just for technical and analytical labor.

2) Content production: In a technical niche like industrial packaging, an in-depth article written by a native English speaker who understands the industry costs between 150 - 300 USD. Adding 2-3 quality guides or category landing pages a month requires around 500 USD allocated purely for content.

3) Digital PR and link building: Earning legitimate, non-spam editorial mentions from reputable industry sites requires dedicated time and targeted outreach effort.

Because of this, anyone quoting 400 USD cannot dedicate any actual human hours to these steps. Throw that 400-dollar quote straight in the trash. At that price point, all they're going to do is blast your domain with spammy automated backlinks. When your site gets penalized by search engines two months down the road, that 400-dollar "saving" will cost you a 10,000-dollar burned domain.

Ask the agencies you're talking to this: 'How much of this proposed budget goes directly to outsourced content and digital PR expenses, and how much is your agency service fee?' Don't take any proposal seriously if they can't answer this clearly.

When doing your own math, use this formula: 1) Average optimization time per page (1 hour per page for the first month), 2) Industry-specific content costs, 3) Developer implementation costs. If you don't have an in-house developer, you also need to budget for the technical resources required to implement the agency's recommendations.

We export machinery parts and went down the exact same road. At first, paying 1.800 USD a month felt really steep because we saw virtually zero return for the first 4 months. It was extremely tough justifying it to the board of directors. But after month 6 two major distributor inquiries paid off the entire annual agency invoice in one go. SEO isn't a quick channel; if you don't have the patience and the budget stamina it's better not to start at all.

I'd strongly advise staying away from companies that impose a minimum six-month lock-in contract, set no milestone goals, and offer no early termination rights under any circumstances—you'll just end up with your budget locked down.

What's the current technical health of your site? If it's on a very outdated infrastructure or page speeds are terrible the agency quoting 4.500 USD might be factoring in a comprehensive code overhaul. Does their proposal detail an infrastructure revamp?

Solutions that work at a small scale collapse when you grow; I learned this late. If I were you, I'd go this route.

Ranking is the result, search intent is the input. Look at intent first. Just leaving this note it might be useful.
