I run a wholesale packaging and box supply business in Izmir Gida Carsisi. I actively work with around 85 corporate and local merchant clients. Since deferred payment sales are very common in this market, knowing who owes what and when each check will be collected is vital for me. Right now, I have about 650,000 TL in total receivables floating on open accounts.

For about nine months, I've been using completely free desktop account tracking software that I found online. It handles the basics like adding customers, debit-credit entries, and printing collection receipts without any trouble. But I have no idea who is behind the program; it looks like an old piece of software put together by a single indie developer.

The other day my computer got a blue screen and shut down, and I broke into a cold sweat. Where is the database actually kept, and what do I do if these free programs stop getting updates down the road or the database gets corrupted? Where does the line on safety end with free account tracking, am I taking a huge risk?

Short answer: Keeping customer accounts on a standalone free desktop app means trusting your business's most critical asset—its financial receivables history—to a single hard drive with zero guarantees. Your data security depends entirely on the physical health of that computer and the app's export capabilities.

Most free desktop software relies on a local file-based database. These setups usually lack automated cloud backups, multi-user permissions, and transactional integrity. If your PC shuts down suddenly or loses power, the risk of corrupting an open database file is very high. And once the developer stops updating it, the program might not even launch on newer operating system versions.

You should run these checks right away: 1) Can you export the entire trial balance and transaction ledger into a spreadsheet with a single click? 2) Can you locate the data file in the app's install directory and copy it daily to an external drive or encrypted cloud folder? 3) Does it support double-entry reversal logic for corrections, or can past balances simply be edited manually?

For a business with 650,000 TL in receivables, paying 300 to 800 TL a month for professional bookkeeping software isn't an expense, it's capital insurance. Migrating to a system that provides daily encrypted backups, stays compliant with regulations, and integrates with official e-fatura/e-arsiv workflows is essential for your business's safety.

The biggest mistake in business is leaving your receivables ledger up in the air. When you have 650 thousand lira waiting to be collected, relying on a program with an unknown developer makes no sense. If that file corrupts tomorrow and you tell a customer they owe you, you won't have an independent record to prove it.

There are 4 hard boundaries that define the limits of free account software: 1) Lack of official e-fatura and e-arsiv integration. 2) No automatic cloud backup infrastructure. 3) Inability to calculate partial collections, check-promissory note endorsements, and late-payment interest. 4) Lack of user-level access controls, meaning everyone in the shop can view all balances.

Three years ago we watched 90 thousand lira evaporate because of a free account tracker. The hard drive fried, so we took it to a local computer shop, and the database was completely unrecoverable. Half the customers showed up with their own statements and underpaid, and we couldn't even object since we had no verified records left. Ever since, I refuse to use anything without a license and cloud backups.

What you need to do today: Find the data file from the program's settings or its local disk installation folder. Every evening before leaving the shop, copy that file with the date stamped onto an external USB drive. That way even if the PC crashes you'll at least save yesterday's records.

When the database on a similar desktop software got locked up, we paid 8,000 TL to a specialized data recovery firm, and they could only recover about 70 percent of the data. A full year's worth of licensed bookkeeping software fees went down the drain in a single day.

Does your program have a feature to send reconciliation statements or customer account extracts directly via email or text? Or do you review balances one by one at month-end and confirm everything over the phone?

In short, a free tool is a temporary fix meant for single users and low risk. With 85 clients and over half a million in open balances, any software without automated backups, reliable exports, and formal regulatory support represents a direct operational risk to your business.

The opposite happened to me, that's why I'm writing. Every "we'll look at it later" in a meeting means unbilled work.

Any unwritten clause becomes a point of disagreement later, as both sides remember it differently. Just leaving this note, it might be useful.
