I opened a small two-booth skincare and nail studio in downtown Lille. I'm in my fourth month and currently handle about 3 to 5 appointments a day on average. So far I've been managing everything with a desk calendar and a phone notebook but I'm starting to run into double-bookings and forgetting past treatment notes.

I keep seeing free cloud-based software for beauty salons online. Some claim to be completely free for a single user others say they don't charge for up to 50 appointments a month. I really don't want to commit a budget from scratch because my cash flow is still super tight.

Has anyone used these free salon management apps? Do they do the job for just a few clients a day, or will trusting them with client records and communication history come back to bite me later?

Short answer: For a volume of 3-5 appointments a day, free software may seem sufficient to organize your calendar, but it poses significant medium-term risks due to data export restrictions and legal data protection liabilities.

The most common trap with free tiers is data ownership. Once you log client phone numbers and sensitive treatment notes like allergies or skin types, the platform might not allow you to export that data as a spreadsheet when they eventually shift to a paid model. Your client list gets held hostage, forcing you onto a paid subscription.

The second critical issue is data security and European Union compliance. It is often unclear which servers store sensitive information like clients' health and beauty treatment histories, whether automated backups exist, or if the data is processed for commercial gain. If a free provider abruptly terminates service, your entire appointment book could vanish overnight.

My advice: If you must use a free platform, 1) verify that it lets you export data weekly in CSV format, 2) send SMS confirmations manually from your own phone instead of relying on the app, and 3) the moment you hit 50 appointments a month, budget 20-30 Euro to migrate to a tool with dedicated support and guaranteed backups.

You really don't need complicated software for 3 clients a day. For now, just use an encrypted online calendar and a simple spreadsheet row for each client. Zero cost and you keep 100% control of your data.

I started with a similar free tool, and once I hit 80 clients, they suddenly announced: 'the free plan is discontinued, pay 45 Euro/month or your account will be deleted.' I had to pay for a month just to rescue my client list.

Since you operate in France, storing customer contact details requires strict compliance with RGPD regulations. Many foreign free apps don't guarantee EU-based servers in their terms of service, so be careful.

free ones don't include sms reminders anyway. a no-show client costs you 30-40 euro a day that single missed booking already pays for the 20 euro software fee.

Do your clients want to book online, or do they mostly call you? If it's just for your own tracking, manually typing everything into third-party software might just add unnecessary administrative overhead.

i get that every penny counts early on but your client notes are your most valuable asset and if you forget which client is allergic to which dye the fallout is tough to fix.

There's a trap here, let me mention it. Access credentials should be opened in the company's name, not personal accounts.
