Should I write the project for the agency into a 'specification document', or is it enough to just say it via email?

We agreed on the project with the agency 'verbally' (there's an email but it's long). Then the parties understood things differently (client meant 'dynamic feature', agency meant 'static page'). The lawyer said 'if there had been a written specification, there wouldn't have been a dispute.' What does specification mean, is it recommended?

What should a specification include in website / software projects? What are the headings? How is it written — should a technician write it, or us? Should it be very detailed, or a summary?

Should I attach the specification to the contract? Or keep it as a separate file? When things change (client has a new requirement), can we update the specification, or is a change order required?

Search for templates online (Atlassian, Coursera 'Software Requirements Spec'), adapt them. Fill it out together with the client + agency, and sign it.

You're right, I've been down that road too. Access credentials should be opened in the company's name, not personal accounts.

I went through the same thing two years ago. Access credentials should be opened in the company's name, not personal accounts.

There are three things to check when doing this. Ask who prepared the quote and who will actually do the work.

This is my opinion I'm not claiming it's absolute truth.

Looking at it as a process the picture changes. Everyone rushing into how to write a specification document gets stuck at the same point.

In legacy systems the most expensive thing is unknown dependencies.

If scope grows, either time or budget must grow. There is no third option. If I were you, I'd go this route.
