Hi everyone, I run a cafe with three branches. Our site is from 2019, doesn't look good on mobile, and lacks appointment/booking features.

I got two quotes. One suggests refreshing the current site to make it mobile-responsive and is cheaper. The other says let's build from scratch and costs almost double.

I don't know tech, so I can't tell which is right. Both sound reasonable. What should I ask them? How do I decide?

Answering as an agency. We do both, so I'll try to be neutral.

Let's clarify: the decision depends on the infrastructure, not the site's age. The question to ask is: what system is the current site built on, and is that system still receiving updates?

1. If yes and the design is old: refreshing makes sense, the cheaper option is the right choice.

2. If no, or if it's custom-coded and unmaintained: refreshing is adding floors to a rotten foundation. Building from scratch is more correct.

3. Will your content be migrated? If so, that's a separate line item. Check if it's included in both quotes.

If you want appointments and bookings, that already implies a new structure. In your case, building from scratch is likely the right answer, but ask the question above first.

A warning from a design perspective: "making it mobile-responsive" is a very broad term.

Some agencies just shrink it based on screen width. The result works on phones but is unusable because buttons are small, text is unreadable, and forms can't be filled out.

If the quote says "mobile-responsive," ask for screenshots of how it will look on a phone. Visual proof, not just words.

Thanks a lot to both of you. I've written down my questions and will ask both providers on Monday.

When I asked the system question, the first provider hesitated a bit, while the second answered immediately. Honestly, that alone gave me some insight.

Sorry, but this doesn't apply in every case. Everything goes well for the first three months; problems arise in the fourth.

Ask who prepared the quote and who will actually do the work. I'm also curious if anyone does it differently.

I agree with this. The biggest time-waster for us was not knowing who had the final say.

Solutions that work at a small scale collapse when you grow; I learned this late. Correct me if I'm wrong.

The cheap-looking path usually ends up costing more later. People defend habits not processes. Resistance comes from there.

noted, thanks. payment schedules should be tied to project phases, not caendar dates.

if scope grows either time or budget must grow... there is no third option.
