my partner and I run a smartphone and tablet repair shop... we take in an average of 140 to 160 devices a month... until now we’ve been trying to manage everything with paper service slips and a basic spreadsheet. but as business grew things started getting mxied up: which screen went into whose device how much a part was bought for, and how long a device has been sitting on the shelf.

customers constantly calling to ask about their devices status is seriously disrupting our repair work during the day. we can allocate a software budget of around 600 to 1,000 TL per month. honestly for a small repair shop, what modules in repair management software are absolute must-haves, and what shouldnt we overlook when choosing one?

The first thing to look for when choosing software is the device check-in process. When receiving a device from a customer, it should offer a visual template where you can mark existing body scratches, liquid damage, and screen condition. Automatically printing legal terms for the customer to sign at the bottom of the intake receipt prevents future disputes. The second critical point is the status lookup system; customers should be able to check their status themselves using the number on the receipt or a link sent to their phone.

Inventory integration, on the other hand, directly impacts your profitability. A battery or screen installed in a repaired device should automatically be deducted from inventory the moment the ticket is closed, and the difference between purchase and sale price should be recorded to your profit margin. Your monthly budget is plenty to cover an off-the-shelf cloud-based dashboard with these features; go for mobile-friendly cloud systems instead of clunky packages that require a local server setup.

The single most important detail is the intake condition report on the receipt. When a customer says, "I brought it in for a cracked screen, and now my camera is broken," you will lose at the consumer arbitration board if you don't have a physical inspection record from intake.

Two years ago, we were managing things with a paper notebook just like you. A device a customer never picked up sat on the shelf for six months, and then they sued us claiming "you lost my device." Once we switched to a barcoded, SMS-verified system, that kind of friction completely vanished.

We switched to cloud software when we hit 200 devices a month. The average of 25 daily status calls dropped to around 4-5 thanks to automated SMS notifications; the time the technician gets back pays for the software on its own.

Make sure to test these four features before deciding: 1) Printing barcoded labels from a printer at check-in, 2) Profit/loss reporting per part, 3) Status updates via SMS integration, 4) Looking up the device's past repair history by IMEI.

Don't jump into annual upfront licenses right away. Small shops often pay for software with a terrible UI and end up going back to spreadsheets after a month. Definitely test the free trial in the shop during rush hours for at least fifteen days.

pick a dashboard that can be accessed from a phone being able to check how many screens you have left in stock while at the supplier outside the shop is a huge lifesaver.
