Someone suggested launching a B2B dealer portal for our accounts — what is it, and is it worth it for us?

We're a hardware and electrical supply wholesaler. We currently have around 45 active dealer accounts pulling inventory on a regular weekly basis. Our entire ordering process runs strictly on phone calls, WhatsApp messages, and scribbled notes. At the start of the week or month-end, the office turns into total chaos due to order confirmations, shipping mistakes, and price list updates. One of our staff members spends almost their entire workday manually typing these messages into the accounting software.

Last week, a developer friend suggested we set up a dealer ordering portal. He quoted around 180.000 TL for custom-built software, while another acquaintance mentioned there are ready-made cloud-based platforms for around 4.000 TL a month. What exactly is this setup, and will it genuinely save time for a mid-sized wholesaler like us? If we build it, how should we calculate the cost versus return per dealer, and does it make more sense to go custom or buy an off-the-shelf package?

Short answer: A dealer ordering portal is a private B2B e-commerce platform where your accounts log in and place orders directly based on their assigned discount rates, current balance, and live stock levels. It eliminates order errors from phone calls and messaging, and it removes the data entry burden from your staff. At your current volume, it will definitely streamline your operations.

Going with custom software at this stage is an unnecessary cost and risk. Custom builds constantly run into integration bugs, security gaps, and update issues that keep racking up extra expenses. In your case, the priority should be an off-the-shelf, cloud-based B2B solution that integrates both ways with your current accounting or ERP software. When a dealer places an order, inventory should deduct automatically, and the invoice or dispatch slip should post directly to their ledger.

You can calculate the portal's ROI based on staff hours and error costs. An employee spending half their day on manual entry translates to at least 80-90 work hours a month. Factor in return shipping and logistics costs for mis-shipped items, and an off-the-shelf platform pays for itself within the first two months.

The biggest hurdle during rollout is dealer habits. Definitely do not sink 180k lira into custom software. Start with cloud solutions on an annual subscription. The most critical piece is the accounting integration. If orders from the portal don't push into your commercial software automatically or with a single click, the system is useless and you'll still be stuck entering everything manually.

Setting up the software is the easy part; the real headache is getting dealers to actually use it. Traditional shop owners are used to shooting a WhatsApp message saying "send me five boxes of what I got last week." Even with a portal they'll still call you. Unless you nudge them firmly, no one's gonna bother logging in with a username and password and that money goes straight down the drain.

We switched to an off-the-shelf B2B portal back when we had 30 dealers. For the first three months, only 10 of them actually logged in. Then we offered an extra 1 percent discount on web orders, and by month four we were up to 26 dealers. We used to have 8-10 mis-shipments a month; last month we closed with zero errors. The time saved is just the cherry on top.

The critical technical detail to watch out for when choosing a system is the API architecture. Can you define dealer-specific discount matrices, and are term balances and open credit limits pulled real-time from accounting? If current balances aren't up to date, a dealer who's maxed out their credit limit can easily place orders through the portal, and you'll run into serious collection headaches down the line.

our wholesaler switched to a portal like this too then was tough at first but now i just toss missing items in the cart even at 11 pm and check out, super convenient. as long as the mobile UI is good, nobody's gonna boot up a PC at the shop to look up an order list, gotta be able to do it from the phone.

Which accounting or ERP software are you currently using? There are plenty of turnkey B2B add-ons on the market that integrate directly with popular accounting software. Have you checked if your current software supports these kinds of ready-made connectors?

You shouldn't overlook the legal framework when transitioning to a dealer portal. Having dealers electronically sign off on user agreements, distance sales terms, and commercial data processing consents upon logging into the system will safeguard your company against potential reconciliation disputes and contested orders down the road.
