I run a 3-chair hair salon in Paris's 15th arrondissement. My two staff members and I work non-stop 6 days a week. About 4 months ago, to keep salon overhead low, we started using a free salon booking software I found online.

In the early weeks when client numbers were low, it did the job, but over the last month serious issues started popping up. Last Saturday, two different color appointments got booked for the exact same time slot, and one of the clients had to wait in the salon for 45 minutes. On top of that, because the free plan caps our automated SMS reminders at 50 per month, the quota runs out immediately; we're losing at least 200-300 euros in revenue a week from no-shows.

I currently have about 400 clients registered in the system. How long can this free setup keep me going, what's the threshold for switching to a paid system, and how do I handle the risk of losing my data during the transition?

Just one client forgetting their appointment per week means over 800 euros down the drain each month. Trying to save on a 50-euro monthly software license is draining way more cash from your register. In hair styling you're selling time, and an empty chair is a total loss. Upgrade to a professional setup immediately.

The root cause of double bookings is that free platforms don't account for processing time. In a balayage, color processing time and shampoo time remain blocked on the calendar. Advanced systems separate processing time from active service time, letting the system automatically slot a quick blow-dry or men's cut into an empty chair during that 40-minute color pause.

We went through the exact same thing in our two-chair salon. We were manually sending texts because the SMS quota kept running out, but we couldn't keep up. The month we switched to paid software and set up automated SMS reminders 24 hours before appointments, no-shows dropped from 12 to 1. The 45 euros we paid for the software paid for itself with a single saved booking in the first week.

Export your client list today without wasting any time. Some free platforms disable the export feature once they realize a user is about to leave or won't upgrade. While your dashboard is still fully accessible, download a complete database backup to your computer as a CSV.

For commercial businesses in France, data portability is a legal right under Article 20 of the RGPD. If your current provider puts up roadblocks to exporting your data, they are legally required to hand over your client list in a standard format upon written request citing the regulation.

Making a client wait 45 minutes on a packed Saturday is an absolute nightmare for a stylist, I completely feel your pain. That client might just go to another salon next month. I mean spend the cost of two blowouts and get a proper setup in place; at least you'll have peace of mind when you head home at night.

a 50 sms monthly limit is gone by day three in a 3-person salon anyway... saying you use free software while losing 200 euros a week is just lying to yourself. upgrade to a paid plan asap imo.

Quick question: when switching to new software do past clients' previous dye formulas and root touch-up notes transfer over as well or is it strictly phone numbers and names?

I disagree with you on this point. If acceptance criteria aren't written when the work is done is open to debate.

The cheapest quote is usually the least thought-out one. tbh of course it varies if your situation is different.

Same here. The system lives on after delivery; maintenance is a separate line item.

In legacy systems, the most expensive thing is unknown dependencies. Just leaving this note, it might be useful.
