I work as a freelance interior designer operating as a sole proprietorship. On average, I have 5-6 initial site visits and design consultations with new clients every month. To date, I have around 80 corporate and individual client records that I've either quoted, completed projects for, or am currently working with. I keep all their info in a physical planner and my phone contacts, but it's getting really tough to track who I discussed what budget with and where each project currently stands.

I've seen plenty of cloud tools online marketed as free client tracking software. But how safe are client contact details, budgets, and project notes on these free tiers? What are their limitations, and if the business grows down the road, is it possible to migrate the data over to a paid system without losing anything?

Short answer: Free client tracking tools are generally sufficient for solo businesses starting out and provide standard baseline security; however, free plans usually impose restrictions on data exports and contact caps, so you should pick platforms that let you back up your data regularly. Legally, since you're storing personal data, the provider's data security commitments are critical.

There are three main security and limitation factors you should look out for when evaluating free tools:

1) Data Export and Ownership: Some platforms won't let you export your data in bulk as Excel or CSV on their free tier. If you want to switch to a paid tool down the road, your data might end up held hostage on that platform. Always make sure the export feature is active before signing up.

2) Security and Privacy: Established cloud tools store data on encrypted servers. Still, you need to check whether two-factor authentication is supported on the free version. If your password ever gets compromised, client budgets and personal details could easily fall into the wrong hands.

3) Capacity Limits: Free plans typically cap you at 50 to 100 contacts or 100-250 MB of file storage. With 80 clients, you're already very close to that ceiling. Once you start uploading quote or contract PDFs, you'll burn through that storage fast. Start on a free plan until you have a budget of 200-400 TL per month to spare, but make sure to back up your exports consistently.

Under KVKK, even as a sole proprietorship, you are legally obligated to protect your clients' contact details and personal data. We recommend reviewing the software's privacy agreement to verify what country the data is hosted in and confirm their commitment not to share it with third parties.

The biggest risk with free cloud tools is database isolation. Multi-tenant shared setups can carry higher vulnerability risks. Make sure whatever software you pick has two-factor authentication enabled, and download your client list as a CSV to a local drive at the end of every month for backup.

ive been wanting to switch from a notebook to an app too but what exactly is a CSV format? tbh do I have to enter all the clients from my notebook manually one by one, or is there a way to pull them straight from my phone contacts?

Checklist to keep in mind when picking a free plan: 1) Maximum contact/client limit (should be at least 200). 2) File storage allocation for uploading quotes or drawings. 3) Monthly email or notification sending limits. 4) Bulk data export capability.

trust me it's way safer than keeping it in a notebook. if u leave that notebook at a cafe all your budgets and client phone numbers are gone. set up a free tier on a reputable cloud tool use a strong password and you're good.

Stay away from downloadable desktop setup files offered by obscure websites claiming to be 'completely free client management software'. They might contain malware. Stick strictly to free starter tiers of well-known cloud-based tools with established corporate identities.

When freelancing, your most valuable asset is your clients' trust. You need to be confident that the app where you store home addresses, custom requests, and budgets won't just shut down overnight. Going with the free tier of an established company that also offers paid plans is the safest path forward.
