Looking for a free course management software — how does it differ from Excel, will I lose my data?

We run a boutique foreign language and music academy. We currently have 85 enrolled students and 6 part-time teachers taking classes. Up until now, I've been tracking student attendance, remaining class hours, and parent tuition payments across separate Excel spreadsheets.

However, we've started running into issues like a teacher accidentally deleting a formula, or losing track of which parent paid which installment. I’ve seen a few local and foreign web-based tools online marketed as "free course and student management software."

Is it worth ditching Excel for a free system like that? Technically speaking, how is it any different from a spreadsheet? And more importantly, does keeping sensitive data like parents' phone numbers, student Turkish ID numbers, and payment details on a free cloud tool put me at risk regarding KVKK, and could my data just vanish?

Short answer: While free course management software offers advantages over Excel regarding permissions and automated calculations, it carries serious legal risks regarding KVKK compliance and data security. Storing student Turkish ID numbers, parent contact details, and payment data on a free system without a formal contract or data processor agreement could lead to heavy administrative fines during an audit.

The core difference between Excel and dedicated management software comes down to a "relational database" and "role-based access control." In Excel, everyone can see the entire sheet or accidentally delete a cell. In course software, a piano teacher only sees attendance for their own class; they can't access the accounting screen or other teachers' schedules. This cuts operational errors down to practically zero.

That said, you should think twice about any software labeled "free." Under KVKK Law No. 6698, you are the data controller. It’s unclear where the servers of that platform are located, whether they encrypt the data, or if they offer a Data Processing Agreement (DPA). While 85 students may seem small, you are processing data belonging to minors. Instead of a free tool, either set up a controlled database infrastructure with basic permissions or upgrade to an entry-level plan of an official course management software that guarantees data security.

Excel isn't a database, it's just a data table. If two teachers try to edit the same row simultaneously, you get data conflicts. Web-based software works on database transactions; records are locked, and every change is logged with a timestamp and user ID. Technically, dedicated software is vastly superior, but where that data gets backed up is the critical question.

We tried a free tool for our 60-student art studio. Three months in, a parent asked, "What system are you storing my details in, and where is your privacy notice?" We couldn't even reach the software developer; the website didn't even have an "About Us" or company registration page. We panicked, shut down the entire system, and went back to Excel. That day taught me that businesses dealing directly with parents shouldn't take cheap risks like that.

First thing tomorrow, do these two things in Excel: 1) Password-protect the sheets and lock all formula cells, 2) Don't give teachers the master file; give them a separate entry form just for attendance. That's the safest stopgap until you can budget for proper software.

Nobody rents servers and runs course management platforms out of the goodness of their heart. These "free" systems will either start charging down the road or use those parent contact details to serve ads for student loans, study guides, and the like. Read the privacy policy carefully.

85 students is a great size, congrats. Even if you budget a nominal monthly fee per student, it will easily cover the cost of professional software. Plus when automated SMS reminders go out to parents for absences and tuition dues your collection rates will improve noticeably.

definitely dont put turkish id numbers into random sites with unknown backends. if a data breach hits the news tomorrow u wont be able to explain it to parents and itll ruin the schools reputation.
