Off-the-shelf website templates or custom design — what should we look out for first?

We are a 4-partner payroll and CPA firm based in New Jersey. Our current website is about six years old; its mobile responsiveness is very poor and it doesn't represent our services professionally. We sat down with two different agencies to revamp our site.

The first agency quoted 8,500 USD with an 8-week timeline stating they would design and code the interface completely from scratch for us. The second agency suggested going with corporate website design templates and customizing the pages around our brand colors, content, and corporate identity; they asked for 2,000 USD and said they could deliver in 2 weeks.

Our budget fits the template proposal much better but there are doubts among the partners. If we use an off-the-shelf template, will we be tied to the agency down the road? Will our design flexibility be heavily restricted who owns the site license and will we be left hanging technically if we part ways with the agency tomorrow? What should we check before signing a contract?

Short answer: For small businesses offering consulting and professional services, quality website design templates are more than enough, and spending 8,500 USD makes no sense. However, it is essential that the template's usage license is purchased directly under your company's name and that the system is configured on a standard stack.

The biggest risk with a template approach isn't vendor lock-in; it's the agency piling dozens of incompatible plugins onto the system just to push past the template's limitations. This slows your site down and creates security vulnerabilities. When agreeing with the agency, insist that the core codebase remains untouched and that future updates can be handled with a single click.

Settle the licensing issue upfront. Even if the template fee is bundled into the agency's invoice, the marketplace license account for the theme should be registered under your corporate email. That way, once your contract with the agency wraps up or if you decide to work with another specialist, you retain the license key.

Custom design is only justified when you need complex client portals, custom calculation engines, or unique user flows. For a standard corporate presentation, a team page, and a contact form, outfitting an off-the-shelf template with original copy and professional photography delivers the exact same impact while protecting your budget.

Pay close attention to which page builder the agency uses when picking a template. Some page builders load hundreds of unnecessary lines of code and JavaScript libraries, completely ruining page load speeds. Ask the agency whether they will use a lightweight theme engine that outputs clean code.

Explicitly state in your contract that commercial usage rights for the template and all utilized visual assets will be transferred to your firm. Making it a prerequisite that an individual license is purchased under your name and invoiced accordingly—rather than the agency using their own bulk agency license—will prevent future legal disputes.

Three years ago we made a similar mistake and paid $7,000 for custom coding. The agency handed over a bloated, homebrewed admin panel. Later on, we waited days for support just to update a simple phone number. Eventually we migrated to a WordPress-based corporate template, and now our office manager handles all pages easily.

Put these 3 questions to the agency in writing during the decision phase: 1) Will your template customizations be done via a child theme? 2) How many third-party plugins will be installed outside the template's core demo? 3) Will our team receive training on basic content management upon project handover?

quoting eighty-five hundred dollars for an accounting firm site is pure opportunism. btw grab a clean corporate theme, let the two-thousand-dollar agency populate it properly and be done with it, spend the rest of your cash on marketing.

Templates look cheap at first, but they can be a hidden cost trap with the agency. If you don't like the design and ask to 'shift this a bit to the right, move the menu over there' they might say 'that's not in the template's defaults, we have to bill extra dev hours' and easily double that $2,000 budget. Lock down revision limits upfront.

the only thing that stops a template from looking like a template is content. if you buy a stock template and stuff it with generic stock model photos it looks cheap. shoot and use genuine photos of your own office and team and nobody will even tell it's a template.

Everything goes well for the first three months; problems arise in the fourth. If I were you, I'd go this route.
