We run a 10-room boutique hotel and a studio hosting weekly yoga workshops in Fethiye. Handling bookings over the phone or via messaging is crippling our day-to-day operations; we deal with at least 3 to 4 double bookings or no-shows every single week.

We're finally ready to switch to a proper, streamlined booking engine running on our website. We've gathered quotes from agencies and software providers. They range from off-the-shelf cloud solutions for 12,000 TL/year to custom builds quoting 75,000 TL. I've been reviewing different booking system examples on the market, but I can't quite figure out which setup fits our scale.

To anyone who has been through this: Which features are absolutely vital when comparing different booking systems? Aside from deposits, calendar sync, and automated notifications, what critical details should we not overlook?

Platforms that only handle one-way exports will cause double bookings due to sync latency. 2) Tiered Deposits and Payments: The only real remedy for no-shows is charging at least the first night or a flat percentage upfront through a compliant virtual POS. Look for solutions that accommodate automated refund rules tied to your cancellation policy. 3) Multi-Channel Reminders: Automated SMS alerts sent 24 hours and 2 hours prior slash no-show rates dramatically. Pay close attention to how the calendar sync is engineered. Standard iCal connections often refresh only every 2 to 3 hours, which is an easy way to end up selling the same room twice. Prioritize platforms that support webhooks or direct API sync.

definitely do not sink 75,000 TL into custom software. start a free trial with an established cloud solution and let your staff test it out. if your team can't log a booking from a phone in under a minute, the system is useless.

keep the checkout form short imo. systems requiring national id dob, etc make customers abandon the page immediately. name, phone number and card details should be enough.

Watch out for transaction fees on hosted platforms. The annual subscription might seem cheap, but plenty of providers take a cut per reservation. By the end of the busy season, that cut can add up to more than what a custom build would have cost.

Two years ago, back when we relied on paper ledgers and text messages we double-booked the same room over a holiday weekend. I will never forget the sheer embarrassment not to mention paying out of pocket to rehouse the guests elsewhere. We invested in a proper booking platform immediately after that.

You can ask a customer three times "Are you sure youre coming?", theyll say "Well definitely be there," and then they still wont show up that night... like a reservation without a deposit charged to a credit card is just wishful thinking.

In short, real-time sync to prevent calendar conflicts, collecting deposits via virtual POS, and SMS reminders are absolute musts. For a boutique scale, testing out a good off-the-shelf software makes way more sense than paying for custom code.
