Our agency says we need an 'API integration' to connect our invoicing system — what does that mean, and what should I ask for?

We run an e-commerce store based in Madrid selling sports nutrition and supplements. We handle an average of 450 to 600 orders a month. Up until now, our staff manually entered sales from our website into our local accounting and invoicing software one by one. But as our volume grew this started eating up at least 15 hours a week and staff errors with tax IDs or addresses have become frequent.

When we spoke with the agency that built our site, they said we need an "invoicing API integration" set up on the backend. They quoted 1,800 euros for setup, plus an ongoing monthly maintenance fee of 150 euros to keep the system running. The proposal is packed with technical acronyms; I can't really tell what I'm actually buying.

As a business owner, I want to understand what this API connection actually means, whether the quote is reasonable, and what liability and guarantee clauses I should make sure are in the contract. What should I demand from the agency so we're covered if the system fails to generate an invoice or issues an incorrect one down the road?

Short answer: An API integration is essentially a digital bridge that lets order data from your website communicate automatically and instantly with your accounting software without any human intervention. The agency's proposal shouldn't just cover writing the code; it must also explicitly outline responsibilities for error handling, fallback/backup mechanisms, logging, and keeping up with regulatory updates.

From an operational standpoint this process boils down to three main components: 1) Data flow mapping: Ensuring the customer's name, tax ID line-item totals, and VAT rates map accurately into the right fields in your accounting software. 2) Error handling: If your accounting server goes down or your internet drops, orders shouldn't vanish—the system must queue the transaction and issue the invoice automatically once the connection is restored. 3) Audit logs: A historical record of which order was matched with which invoice number and when, so you can trace everything back.

On the cost side, a 1,800-euro setup fee for a custom e-commerce invoicing API integration is reasonable market rate in Spain. However a 150-euro monthly maintenance fee is steep if it's just for passive uptime monitoring. That monthly fee should include free integration updates whenever your accounting software releases a new version, plus a guaranteed SLA of at least 2 hours of emergency support each month.

Make sure to add these two clauses to the contract: First, an idempotency guarantee to prevent duplicate invoices from ever being issued. Second, an automated alert requirement that instantly notifies your admin dashboard and email whenever an invoice fails to generate.

An API is just a digital handshake between two software systems, but the moment one side updates, that handshake can break. If your invoicing software changes a parameter tomorrow, the agency shouldn't be able to turn around and say "that's a new feature request, we'll invoice you extra." If you're paying 150 euros a month, version updates must be fully covered.

15 hours of staff time a week comes out to 60 hours a month. When you factor in hourly wages and social security costs in Spain, manual entry is costing you at least 800 to 900 euros every month. If the integration runs smoothly, an 1,800-euro investment pays for itself in two and a half months.

Before signing anything, check your invoicing software's official website. Most popular platforms already offer official, off-the-shelf plugins for major e-commerce setups. If a ready-made plugin exists, you can solve this for 20-30 euros a month instead of paying an agency to build something from scratch.

That 150 euros a month maintenance fee is a classic agency move: build it once, kick back, and bill you every single month. Make sure the proposal details exactly what service you're getting for that 150 euros during months where nothing goes wrong.

Ask the agency to state in writing in the technical spec whether they're using webhooks or scheduled cron jobs. Webhooks issue invoices in real time. Also, tax ID validation (VIES / NIF checks) should be verified through a filter before anything ever hits the API.

Adding a GDPR compliance clause to your contract is a legal requirement. Since customer identity and address data will be transmitted between two servers, the agency acts as a data processor and must assume liability for any potential security vulnerabilities on their end.

Manually entering 500 invoices a month is an absolute nightmare of a workload. Dont let the upfront setup cost scare you off; if you get it hooked up under a solid contract, youll see it was worth every penny of saved time and stress within the very first week.

This approach has a cost, which isn't discussed. Ask who prepared the quote and who will actually do the work.

When we decide without measuring, we always end up in the same place. Of course, it varies if your situation is different.
