We kicked off a new portal project for our Munich-based wholesale technical supplies B2B business. Looking through the detailed quote from a local dev agency, one line item caught my eye. In the German version of the proposal it's listed as "Schnittstellenentwicklung," while the English summary table calls it "API Development," with a budget of 8,500 Euro allocated to it.

What bothers me is how ambiguous the phrasing is. We run an existing ERP/WWS system in-house. Does this scope item only cover building the bridge between our current setup and the new portal, or does it imply engineering a custom data transmission interface from scratch?

What do these two terms actually mean in practice, and how should we define this deliverable under German contract law so the agency doesn't just say, "Well, we exposed the endpoints, managing the data flow is on you," and walk away?

Short answer: In a proposal, terms like API Development or Schnittstellenentwicklung refer to coding the integration middleware that enables data exchange between two disparate software systems. However, unless the scope is explicitly defined, an agency might just expose the endpoint and consider the job done; specifying the data flow direction and error-handling requirements in the spec sheet is essential.

In German software projects, the term Schnittstellenentwicklung usually describes two-way data communication. This covers batch or real-time sync between your existing ERP and the new portal for inventory levels, customer account balances, custom B2B price tiers, and incoming orders. An 8,500 Euro budget suggests custom data mapping and queue mechanisms between both platforms rather than a simple off-the-shelf plugin install.

To avoid getting burned later, make sure the agency details the following points in the scope of work (Leistungsbeschreibung): Is data sync unidirectional or bidirectional? Which exact data fields will be mapped? How will the system log communication dropouts, and will there be an automated retry mechanism?

You should also add a condition to the formal sign-off requiring end-to-end test orders using real production data. The agency can't just open a port and call it done; they have to actively demonstrate that an item from the ERP displays in the portal, and that an order placed through the portal lands cleanly in the ERP without errors.

"API Development" can sometimes be read broadly as architecting an API from scratch whereas the German "Schnittstellenentwicklung" almost always implies a bridge connecting two existing systems. If that's what's in the proposal they're talking about the middleware layer. Make sure the word "bidirektional" (two-way) is explicitly stated.

From a legal perspective, if this falls under a contract for work (Werkvertrag), the deliverables must be tied to concrete, verifiable criteria. We strongly recommend requesting an appendix labeled "interface specification" (Schnittstellenspezifikation) where the exact field-mapping table is signed off by both parties.

We paid 9,200 Euro last year for an ERP-to-portal integration for our warehouse in Hamburg. The original price covered order sync, but later they treated real-time stock updates as out-of-scope change requests and billed us an extra 2,000 Euro. Lock down every single table and data field in the contract from day one.

Ask the agency a straightforward question: Does this price include pulling orders from the ERP, pushing product stock levels to the portal, and sending notifications when transfer errors occur? Get written confirmation via email for this and make it an integral appendix to the proposal contract.

Usually when agencies say Schnittstelle, they just set up a standard library and call it a day. Then data mismatches pop up because your ERP version is outdated, and they blame it on your ERP vendor. Don't sign the contract until you've gotten the tech leads from both sides into a joint meeting.

These 3 items must be explicitly stated in the proposal: 1) Data sync frequency (real-time trigger vs. periodic batch), 2) Error handling and logging mechanisms, 3) ERP staging/test environment setup and pre-launch testing phase.

Request the data documentation from your ERP's technical team right away and forward it to the agency; without reviewing that doc, their 8.500 Euro quote is nothing more than a rough guess.

Absolutely. If I were to add anything: The system lives on after delivery; maintenance is a separate line item.

People defend habits, not processes. Resistance comes from there. I'm also curious if anyone does it differently.
