We sell auto spare parts wholesale and retail in Moscow. We have around eight thousand SKUs in our warehouse. We track all inventory movements, supplier invoices, and vendor/customer accounts through our local accounting software, 1C. Last month, we sat down with a software agency to modernize our e-commerce platform and speed up the order fulfillment process. When we said we wanted website orders and stock levels to sync automatically, the project manager immediately said, "For that, we definitely need to build an API integration between 1C and your site."

Since we aren't technical, we couldn't fully grasp the details. The agency quoted 220,000 Ruble just for this data bridge, with a one-month delivery timeline. I've heard there are off-the-shelf plugins on the market, so I don't really get why custom development from scratch is an absolute must. What does this thing they call an API integration actually do? Is this budget realistic for the market, or are they trying to sell us an off-the-shelf solution disguised as custom code?

Whether you need an off-the-shelf module or custom development depends entirely on the complexity of your data structure. If your e-commerce platform and accounting software use standard fields, commercial ready-made connectors running between 25,000 and 40,000 Ruble will do the job; the agency would only charge a small service fee for setup and field mapping. However, once you introduce multiple warehouses, tiered discount structures that vary by wholesale/retail clients, alternative OEM part codes, or custom balance lookups, off-the-shelf modules hit a wall.

When custom development is required, developers build dedicated endpoints for both systems, handle server rate limits, and implement queue systems that prevent data loss if the connection drops. In the Moscow market, designing and testing a custom architecture of this scale from scratch typically costs between 160,000 and 280,000 Ruble. The agency's quote of 220,000 Ruble is reasonable if they are truly delivering an enterprise-grade, bespoke data mapping; but if they are asking for this figure just for a basic stock sync, you should demand a detailed technical specification.

The most critical detail in an integration is the direction of data flow and the trigger method. If you don't implement a webhook architecture instead of polling systems that send constant queries, your server could lock up while updating an eight-thousand-item catalog. Make sure to ask the agency in the specs whether data transfer will use REST architecture and how they plan to manage queue handling.

They initially promised three weeks, but because variant codes and VAT groups didn't align, going live took six weeks. We had major chaos the first week during testing due to order numbers colliding.

Software agencies generally love claiming off-the-shelf plugins are inadequate so they can sell custom dev work, simply because billing hourly is more profitable. Eight thousand products isn't a massive catalog. Ask them if they've genuinely looked into standard modules; sometimes writing a small middleware layer on top of an existing plugin solves the issue at a third of the price.

Ask for a data mapping document before signing the proposal. It should list line-by-line which data field on the site corresponds to which field in accounting. If you don't get this down in writing beforehand, they'll issue extra invoices once development wraps, claiming 'this field wasn't in scope,' and your budget will blow up uncontrollably.

Correction: I misremembered the figure, it was a bit lower.

Are you going to have real-time stock lookups on your site, or is a batch sync twice a day sufficient? Also do you plan to show credit limits and account statements for B2B dealers? The answers to these questions directly dictate whether you go with an off-the-shelf module or custom code.

when we first did our integration we were so paranoid we had the warehouse staff manually cross-check orders from the site for two straight weeks. but once the system settles in, its a lifesaver; saving your staff three hours a day of copying invoices pays for itself within a few months.

i'd say ask the agency about a maintenance agreement too. if the data schema changes with every version update on the accounting side the api could break. if they don't provide monthly support you'll be left stranded when the system goes down tomorrow.

The main factor that drains the budget in integration projects isn't the software, it's the mess in your existing database. If your product records on the accounting side have duplicates, missing barcodes, or incorrect unit definitions, even the most expensive integration will just transfer garbage data faster. Start by cleaning up your inventory records first.

i'm a small business, let me explain from my side. solutions that work at a small sale collapse when you grow; I learned this late.

everyone rushing into API integration gets stuck at the same point. good luck with that.
