Who writes the content for a new website — do we have to write it ourselves?

We are a private dental clinic with four doctors in Izmir. We are about to close a deal with a digital agency to redesign our current website from scratch. The 60,000 TL proposal they sent lists '10 pages of custom UI design, mobile responsiveness appointment form integration, and an admin panel.'

But while reviewing the draft contract, we realized it doesn't say who will prepare the text for treatment pages like implants clear aligners zirconium crowns or doctor bios. As doctors, we have a packed schedule and zero time to sit down and write dozens of pages of SEO-friendly medical copy.

What is the general rule in web design; does the agency write the content, or is it typically expected from the client? What questions should we ask the agency at the proposal stage to avoid stalling the process or running into unexpected costs later?

Short answer: Unless explicitly stated otherwise in web design and development proposals, copywriting and image sourcing are not included; agencies standardly expect all content to be delivered ready by the client. If copywriting isn't listed as a separate line item, the agency will just design empty templates and ask you for Word docs and photos.

The process usually goes like this: Designers use placeholder text to build the layout, then tell the client 'we're waiting on content.' Because the client is too busy to write, projects sit in limbo for months. Especially in healthcare where medical accuracy and regulations matter a lot producing medical content also takes specialized expertise that a general design agency usually lacks.

Before signing off on the proposal, you need to clarify three points: 1) Is professional copywriting included in the scope, or are we expected to provide the text? 2) If we supply the content, do you offer editing services to adapt raw clinical notes into web-friendly, SEO-compliant copy? 3) Are licensed stock photos or clinic photoshoots covered by this budget? Asking these up front prevents 15,000 - 20,000 TL in extra costs and months of project delays later on.

The vast majority of delayed website projects die because of a content bottleneck. Design wraps up in 3 weeks, client can't send text for 6 months, agency blames the client. Don't sign that 60,000 TL contract without locking this down in writing.

3 questions you should directly ask the agency: 1) Is copywriting with a target word count per page included in the quote? 2) Who will handle reviewing the medical terminology for compliance with health regulations? 3) Will the agency produce the photos and infographics?

At a similar medical center, we hired a freelance medical copywriter for 12 treatment pages. We paid 800 TL per page, ran about 10,000 TL in total, and got it professionally done in 3 weeks. Turned out way better than having an agency try to wing it.

As practicing doctors don't even try writing it yourselves; with clinic hours, that project will never end. Ask the agency for an add-on quote for copywriting, and if they can't do it, budget that money for an external healthcare writer.

Designing without content is like building a house without blueprints. If templates are slapped together without knowing heading lengths, bullet points, or image placements, the layout breaks or overflows once real copy goes in.

if copywriting isn't in the proposal they definitely expect you to do it. anyway then they'll ask for the rest of the payment saying 'waiting on content' and put the project on hold speaking from experience.

Shoot them an email right away asking: 'Does your proposal include copywriting and asset sourcing?' If not, ask for the scope and price difference in writing.

I think it's hard to be that definitive about who creates website content. Most time waste accumulates in tasks waiting for approval.

Thanks for writing this, that's the right way. Just because everyone does it doesn't mean it's right.
