We are a wholesale food distribution company with 18 employees based in the Paris suburbs. Last month, one of our suppliers got hit by a ransomware attack and their entire ordering system was down for three weeks, which really rattled us. We want to overhaul our own infrastructure, but the initial quotes we received for audits and backup upgrades range between 14,000 and 22,000 euros.

We heard about cybersecurity incentive programs offered to SMEs by the French public investment bank and regional agencies. Exactly what expenses do these programs cover?

Short answer: Public grants in France don't directly fund the purchase of new servers or hardware; they mostly cover cybersecurity diagnostics, risk assessments, and roadmap consulting carried out by accredited experts. The application process is definitely worth it for small businesses because the state covers more than half of the audit costs, ensuring you allocate your budget properly.

The process generally works in two stages: In the first stage, a state-accredited auditor visits your company to inspect your network architecture, employee permissions, and data flows. This diagnostic package usually costs around 4,000 to 8,000 euros, and the public agency directly subsidizes a set percentage of it. At the end of the audit, you're handed a prioritized, concrete action plan. In the second stage, regional development funds may offer grants or low-interest loans, up to certain caps, for the software or infrastructure hardening recommended in that plan.

However, there is critical time you cannot afford to lose while waiting for government approval. Until your application is approved, you should immediately handle these three urgent steps on your own: 1) Take weekly offline, air-gapped backups of all your accounting and ERP data completely disconnected from the internet, 2) Mandate two-factor authentication on all email and remote access endpoints, 3) Delete inactive accounts belonging to former employees immediately.

Definitely apply for public support, but review your backups today without waiting for approval. Buying external storage drives for 300 euros to take weekly offline backups and store them off-site can single-handedly save you 20,000 euros in costs and weeks of downtime if hit by ransomware.

What exactly is included in that 14,000-22,000 euro quote? Are they trying to sell you a hardware firewall, or is it cloud backups and license renewals? Grants rarely cover hardware appliances, so you need to break down the scope carefully.

Public programs can turn into a get-rich-quick scheme for consulting firms. They hand you a 40-page PDF packed with technical jargon, and then you're left to implement it on your own dime anyway. If you don't have the internal resources to execute the consultant's report, the whole process just stalls out.

What you need to prepare before applying: 1) Your balance sheet from the last fiscal year and proof of SME eligibility, 2) The company's authorized signature circular, 3) A list of contracts with your current IT vendors. If you have these three ready, filling out the application form on the portal takes no more than 40 minutes.

Two years ago, while we were waiting around like this, our accounting PC got encrypted. We were waiting on an appointment for state support and our application was under review. By the time the grant came through, our systems had already crashed. So let bureaucracy move at its own pace, but fasten your own seatbelt today.
