Being advised to set up an online learning platform: Does our boutique prep center need custom software?

We run a boutique language and exam prep center in Kadıköy... Right now we have around 130 in-person students and 8 instructors... To meet demand coming from other cities and switch to a hybrid model, we've started looking for an infrastructure where we can host recorded classes live streams and mock exams all in one place.

A software dev shop we spoke with explained how an online learning platform could be integrated into our operations, but they quoted 140,000 TL to build a custom platform from scratch. honestly on the other hand we know there are turnkey cloud-based learning management platforms available for around 2,000 to 3,500 TL per month.

As a boutique educational institution does it make sense to build our own system and shoulder the ongoing server and maintenance overhead, or would renting an off-the-shelf online learning platform do the job? What criteria should we use to decide when looking at student tracking, video security, and testing modules?

Short answer: Dropping 140,000 TL on a custom-built learning platform from scratch for a boutique center with 130 students is a massive mistake. Your core business is teaching and student satisfaction, not software development and server management; at this stage, renting an existing cloud-based platform is safer on every front.

To make a clear decision, weigh these four fundamental operational requirements: 1) Live streaming and video hosting costs (with custom software, video CDN and server bandwidth bills hit your wallet directly), 2) Video DRM and security measures to prevent screen recording and credential sharing, 3) Automated mock testing and homework tracking workflows, 4) Day-to-day tech support overhead for your instructors and parents.

When you build custom software, a bug in the exam module or lag spikes when 80 students join a live stream live and die entirely by your developer's skill level. Plus, if that dev walks away, you're left completely stranded. With off-the-shelf platforms, paying 2,500 TL a month instantly gets you regular updates, polished mobile apps, and professionally managed server infrastructure.

My advice is to test your hybrid model for at least a year using an established, proven cloud platform. Once your student body surpasses 1,000 and subscription tiers start outstripping the cost of maintaining custom code, that’s when you put custom development back on the table.

Did you ask how they plan to handle video infrastructure in that custom software quote? If you have to rent and manage your own media servers, having 130 students stream HD video simultaneously will blow your monthly bandwidth bill way past your expectations. Turnkey platforms usually bundle that CDN bandwidth directly into their flat pricing tiers.

When choosing a platform, make sure these three things are clearly stated in the contract: 1) Dynamic watermarking support for video protection (the student's name or email should float across the screen), 2) Live classes opening directly in the browser without needing a third-party app, 3) Detailed exam analytics and student-level report cards. Without these, the system won't meet your needs.

we run a small tutoring center of a similar scale—are students' personal data or the video lessons we upload actually secure on these turnkey rented platforms? i mean if we ever want to leave down the road, can we easily export our videos and student lists?

Honestly dont spend that kind of money. 140 thousand lira is practically a few months' rent or ad budget for your center... Renting always gives you flexibility; if the online side doesnt pan out, you just cancel your subscription next month and walk away no technical debt hanging over your head.

Even when renting an off-the-shelf platform, read the contract very carefully. Some providers charge extra per student or hit you with surprise bills if you exceed live streaming minutes. A service you started at 2,000 TL a month can easily jump to 6,000 TL by the end of the month. Get the overage rates in writing upfront.

Everything discussed points to one conclusion: having a custom platform built for 130 students makes no sense given server loads and maintenance costs. The best move is to rent a reliable, ready-made platform with no hidden usage caps and test the hybrid model in the field for at least one semester.
