Is a free CRM enough for a small business, and when should you upgrade to a paid plan?

We run a wholesale business in Kazan supplying building materials and plumbing supplies. We have 4 sales reps in the office and 2 guys out in the field. Up until now, we've managed all orders, quotes, and client communications using cloud spreadsheets. But things are starting to get messy; two different reps will call the exact same client, custom discount rates get deleted from the sheets, and past meeting notes vanish.

My team is suggesting we switch to a CRM. Looking around online at small business tiers, I've noticed starter versions that are free for up to 5 users.

What I want to know is: can these free tiers actually handle the daily flow of orders and quotes for a 6-person business like ours? Or will they just corner us once we get everything set up and used to it, saying "you need to pay 1,500 Rubles per user each month for this feature"? Where do you hit a wall, and does it make more sense to start with a paid plan right out of the gate?

Short answer: Free CRM tiers are enough for the first 3-6 months just to track client contact info and basic sales pipeline stages, but the moment you need automation, email integration, and permissions, upgrading to a paid plan becomes unavoidable. If your business has an active 6-person sales team, you'll likely run into the free version's limits within 2 months.

The main point of free CRM tiers is simply getting your team used to the platform. They usually cap you on three critical things: 1) Communication history and storage: Call recordings and shared PDF quotes will burn through a few gigabytes of storage in no time. 2) Integrations: Automatically pulling inbound phone calls or company emails into the system is either completely disabled on free plans or subject to daily limits. 3) Role permissions: On a free plan, every rep sees everyone else's clients, revenue, and quotes; you can't set per-rep privacy rules to prevent discounts being viewed or clients being poached.

If you're going to make the jump, here is my advice: 1) Spend the first month on the free tier strictly instilling the habit of creating client cards and logging quote stages. 2) The moment the team makes logging in a daily habit, upgrade to a standard paid plan in the 1,000 - 1,800 Rubles per user range. Moving from spreadsheets to a CRM builds operational discipline, but you can't run long-term processes counting on a free plan.

Moving away from spreadsheets is definitely the right call. But 6 people isn't a tiny team; without sales permissions, an employee who leaves down the road could export your entire client database with a single click and walk away with it. The biggest advantage of paid tiers is data security and access controls.

We started out free with 5 people. The first 40 days were great. Then once our client count hit 1,000 records, the system blocked us from adding any new contacts. It was either delete old clients or upgrade to a paid tier. We ended up having to shell out 7,500 Rubles a month for the higher plan, but it was worth every penny—our turnaround time on quotes doubled.

While testing out free tiers, definitely check whether the "export data" button actually works. Some platforms lock your data down on the free tier, holding it hostage and demanding payment when you decide you want to switch to another tool. Keep a close eye on that.

The issue isn't whether the CRM is free or paid, it's whether the team will actually use it. Sales reps generally hate logging every single conversation manually. If the mobile app doesn't record calls automatically and the UI is clunky, you'll spend more time fighting with staff than getting work done.

We're in wholesale building materials too. Two years ago we set up a free version. One of our reps took screenshots of all the custom discount lists and phone numbers in the system on his way out, because there were no visibility restrictions on the free tier. After the financial hit we took that day, we upgraded to a professional license immediately.

No software company on earth is going to hand over server resources to a 6-person wholesale team for life out of the goodness of their heart. The free version is just a teaser; when you actually need reporting and integrations, you'll have to open your wallet. Budget for that right from the start.

Don't sweat it, a monthly cost of 1,500 Rubles per user is easily covered by the margin on just a single wholesale order. Forgetting about a client in a spreadsheet and losing them to a competitor will cost you far more than any CRM subscription fee.

When weighing your options, ask these questions: 1) Can you block reps from seeing each other's quotes? 2) Does it integrate directly with your PBX phone system? 3) What are the monthly limits on generating invoices and quotes? You won't get satisfying answers to these three on a free tier.
