I run a 60-cover Mediterranean restaurant near Lyon. We have a team of 14 across the kitchen and front-of-house: 8 full-timers, 4 part-time students, and on weekends we bring in 2 daily casual workers as needed. Because our service hours are split between lunch and dinner, juggling split shifts and mandatory weekly rest days on paper or in group chats has turned into a total nightmare.

Last month, we miscalculated an employee's mandatory weekly rest interval and ended up having to pay 450 euro in unnecessary overtime. Since our budget is tight, I'd rather not jump into enterprise scheduling software that runs 4-5 euro per user each month; for 14 staff members, that adds up to around 800 euro annually which is just too steep for us right now.

Is there any scheduling tool on the market that's completely free or offers a free tier for small teams that can handle split shifts and last-minute daily call-ins? Can we actually keep this chaos under control with free tools or will things inevitably blow up at some point?

The solution lies in pairing a cloud calendar setup—either an open-source tool without user caps or a free baseline plan—with a strict weekly scheduling routine.

To manage split shifts, start by building weekly templates. Enter the split hours between lunch and dinner services as two separate blocks in the system. To avoid labor law rest-break violations pre-set maximum weekly working hours and mandatory minimum rest intervals directly into each employee profile. Since automated conflict alerts are weak in most free tools, manual verification against your template remains essential.

Rather than adding the two weekend casual workers as permanent users, set them up as an external pool account. Once Friday staffing needs are confirmed assign the shift request to that profile and get direct confirmation from the worker. To let staff trade shifts among themselves funnel all approvals through a single shift manager; otherwise, rest days drift and you'll get hit with surprise overtime payouts.

From a cost standpoint investing an hour or two each month to maintain these templates easily saves you around 800 euro a year in software fees. However once your headcount passes 20 or casual turnover exceeds four shifts a week, compliance penalties will quickly wipe out any software savings.

If you're operating a restaurant in France, free software won't cut it, honestly. Break windows between split shifts, exceeding the 35-hour workweek, and consecutive working days are monitored strictly. No free tool provides automated violation warnings aligned with labor regulations. If an inspector shows up, you'll pay five times that 800 euro you tried to save on software in fines alone.

If you need this solved by tomorrow set up a shared cloud calendar. Use one color code for the kitchen another for front-of-house. Enter split shifts as two distinct events labeled lunch service and dinner service. Have the team keep notifications on and make sure nobody can swap days on the calendar without messaging the manager first.

Ensuring that the weekly working hours specified in employment contracts are not exceeded, and documenting break periods during split shifts, is a legal obligation. You must make sure that whichever software you choose can store retrospective shift records in an unalterable format for at least one year and export them.

we ditched whatsapp and set up a free project management board split the cards by day everyone confirms their card on fridays works like a charm so far imo no need to spend money at all.

If you're going to pick a free tool, look for these four criteria: 1) Must send push notifications via a mobile app, 2) Must be able to show split shifts in two parts on the same day, 3) Must only let team members edit their own hours, 4) Must export the month-end timesheet report into a spreadsheet with one click.

Are the daily workers who come on weekends the same people every week, or does it keep changing? If you have a fixed pool, a simple calendar is enough, but if different students show up every week, inviting them to the system and getting confirmations takes up way too much time on free tools.
