App cost calculators spit out anywhere from 20k to 200k — how do I project the real cost?

We run a 14-person field service company in Chicago doing home cleaning and light repairs. We want to build a two-sided mobile app where customers can book online and pay, while our field techs can accept jobs and update job statuses.

I tried a few of those 'app cost calculator' tools on agency sites. I filled them out with the exact same core features: one quoted 22,000 USD, while another gave an estimate between 190,000 USD and 240,000 USD. That massive spread has me completely lost.

We have 45,000 USD in cash set aside in the bank for this. Which of these calculators is close to reality? How can I forecast a realistic cost range on my own before reaching out for quotes without getting taken for a ride?

Short answer: Online cost calculators aren't technical estimates, they're lead-gen traps agencies use to grab your email. You project real cost by scoping screens and user roles, not with these widgets. For a two-sided field app with payments like yours, a realistic MVP market cost sits between 40,000 and 60.000 USD.

That pricing spread comes down to architectural vagueness. The 20,000 USD tool assumes an unmaintainable prototype thrown together with pre-made templates. The 200,000 USD one assumes enterprise-grade microservices, dozens of edge cases, and months of QA. An SMB doesn't need either extreme.

To build your own cost projection: 1) Map user roles; you need three interfaces: customer, field tech, and office admin. 2) Sketch a rough screen list; say 15 customer screens, 10 tech screens, 12 web admin screens. 3) Allocate 15-20 hours of design and dev per screen. Multiply total hours by standard agency rates (typically 80-130 USD/hr in the US) to find your baseline.

With a 45,000 USD budget, you can't build your entire wish list on day one. If you launch with a customer app and a simple web admin panel first, and handle the tech side via mobile web or SMS notifications, you'll comfortably stay within your numbers.

The biggest technical factor calculators ignore is platform choice. Building on cross-platform frameworks like Flutter or React Native cuts development costs drastically. If you try to go fully native with Swift and Kotlin separately, you'll head straight toward that 190,000 USD territory fast.

We finished building a similar field service tool two years ago. Total of 42 screens, web dashboard, and API came out to 48,000 USD. Initial bids went from 18,000 USD all the way to 140,000 USD. We went with a mid-tier boutique agency and had it in hand within 4 months.

An agency quoting 20,000 USD won't finish the job; by month three they'll claim 'out-of-scope work' and double the invoice. One asking 200,000 USD is trying to bill you for six months of overhead on five full-time staff. Run from both extremes.

those calculators on websites are purely lead gen tools. anyway don't expect an unbiased cost estimate from something that won't show the result without getting your phone number but just open excel and list it screen by screen, that's the cleanest way.

Your budget is actually pretty solid btw, 45,000 USD is not small money. Just dont fall into the trap of wanting everything done at once... You dont have to force the handymen to install an app from day one; even if you just make an "accept job" button on a mobile-friendly web page youd save at least 15 thousand dollars right there.

Do this: prepare a three-page requirements document. Split every feature into "must-have" and "nice-to-have." Send it to five different boutique agencies and ask for a fixed-price MVP quote. The real market price is the average of those proposals.

We trusted one of those calculators for our first app too. Thought we'd finish it for 25 thousand dollars, but by month three we hit 55 thousand dollars because of design revisions and live tracking features. Unless you freeze the scope right at the start, those calculators are just selling dreams.
