At how many SKUs does free inventory and invoicing software fall short, and when should you switch?

we're a boutique stuio in Strasbourg designing and selling ceramics and home decor items. we sell both through our physical shop and our own website. i track orders inventory, and customer records entirely on spreadsheets. right now, I actively manage 70 different product SKUs and roughly 400 stock pieces in my system.

i issue around 90-110 invoices a month on average and our revenue is around 14,000 EUR. im completely exhausted from formula errors in sheets, entering wrong tax rates and forgetting to update stock counts on returns. like i see basic inventory and invoicing tools on the market offering free plans.

how much would switching to free software actually make my life easier at this stage? after how many SKUs or monthly invoices do free tiers hit a wall making a paid subscription inevitable?

Short answer: Your current 70 SKUs and ~100 monthly invoice volume have already crossed the risky threshold for staying on spreadsheets; you should switch to dedicated software immediately. Free inventory and invoicing tools generally hit a wall around 30-50 invoices per month or when handling multi-channel stock sync, so at your scale, a free tier will only buy you a couple of months of breathing room at best.

You shouldn't overlook legal requirements in France either. Spreadsheets can give you massive headaches during tax audits regarding invoice number gaps, retroactive alterations, and mandatory tax fields. Plus, under the phased e-invoicing standards coming into force, every issued document must be archived in an unalterable format.

As for the limitations of free tools: Most free tiers only offer single-user and single-location access. For an operation like yours with both a physical shop and an e-commerce site, a ceramic vase sold at the register won't be automatically deducted from your website's inventory. As long as you have to do that manually, whether you use a spreadsheet or a restricted free tool makes zero difference to your workload.

Legally, an unbroken audit trail of immutability is required for electronic invoicing. Many free tools lack proper e-archiving and audit logging. Besides, any tool that doesn't generate hybrid PDFs in the Factur-X standard will be totally obsolete within two years, so whichever tool you pick must support this format.

We ditched spreadsheets for dedicated software when we were issuing 120 invoices a month. I used to spend roughly 6 hours a week entering data into sheets. Once we moved to an entry-level tool, that dropped to 1 hour a week. The 29 EUR monthly fee was totally negligible compared to the 20 hours we got back.

Watch out for vendor lock-in when using free tools. Plenty of platforms happily let you import products but when your business grows and you want to leave later on they charge extortionate fees just to export your customer and invoice history.

a buddy of mine pulled the wrong vat rate formula in a sheet and invoiced like that for three months straight... I mean the tax office caught it and he went through absolute hell sorting out retroactive corrections, just dont risk it.

What platform is your website running on? If there's no API integration to connect your retail store's inventory with your site, free software won't solve your stock mismatch issues; you'll still be stuck doing manual double-checks every single day.
