Free recruiting software: is switching a must when getting 200 resumes a month by email?

we are a Lille-based loggistics and field support company... like our headcount is nearing 25, and we're constantly posting jobs to expand operations... applications for our last two open positions have gotten out of hand; around 200 resumes a month land directly in our corporate email inbox.

sorting incoming PDFs into folders, tracking who is at which stage, and sharing them with other department managers internally has turned into pure chaos. like more importantly, undder French data protection rules (RGPD) we have serious concerns about how long we can keep these resumes in email archives and what to do if a candidate asks for their data to be deleted.

since our budget is tight, we're considering setting up a free applicant tracking system (ATS) or using a free cloud-based tier. btw can free tools handle job postings, standard application forms and talent pool management at a volume of 200 applications a month or should we just bite the bullet and switch to paid professional software right away?

Free tiers usually limit you to a single active job post and a restricted number of team seats. Here's how to structure your transition: 1) Find a free platform that lets you embed an application form directly on your website, 2) Set up an auto-responder for incoming email applications redirecting them to the form link 3) Bulk-archive candidates once the role is filled. 200 resumes might sound small, but that's personal data for 2,400 candidates a year. When a candidate sends a data deletion request, digging through inboxes, trash folders, and a manager's local downloads folder is an absolute nightmare. Don't put off switching to dedicated software.

We switched from email to a free ATS plan last year. We used to waste at least 4 hours a week sifting through CVs and searching for interview notes across WhatsApp or email threads. Screening time got cut in half after switching. When we hit the free tier's single-job limit, we upgraded to the basic paid plan for 40 EUR/month, totally worth every cent.

Most so-called free recruiting tools out there are really just trial-version traps. They let you publish the job and pile up applications, then demand a credit card the second you want to see candidate contact details or email them. Test out export capabilities and hidden restrictions before committing.

Iron these out during the switch: 1) Draft a clear template for the automated "application received" email. 2) Define your screening, interview, and rejection stages in advance. 3) Add the mandatory RGPD disclosure notice to the application form. If you don't set these up first, software alone won't fix the chaos.

searching for cvs in an inbox is literally the worst... we once lost an applicant's file, couldn't invite him to an interview and the guy went elsewhere. even moving to a free dashboard where u can just drag candidates like cards makes life so much easier.
