Does using a free QR code menu for a restaurant make sense, and what are the risks?

Changing the menu every season has turned into a major hassle at the 42-table pizzeria I run in Milan. Drink and ingredient prices are constantly fluctuating, so we end up getting high-gloss menus printed every three months, paying around 350-400 Euro to the print shop each time. To cut costs, I want to switch to a digital menu using QR codes on the tables.

Searching online brings up dozens of free QR code menu generators. However, I can't quite gauge the long-term technical or operational risks of relying on these free platforms. Will the QR code break when I add new items, will they suddenly put the service behind a paywall, or will they serve unwanted third-party ads to our guests?

Also, could these free tools cause legal headaches regarding Italy's allergen disclosure regulations and customer data privacy? Should we just redirect to our own website, or are these ready-made free services good enough?

Short answer: While free QR menu services seem practical at first, they carry serious reputational and regulatory risks due to third-party ads, dynamic redirect limitations and mandatory allergen compliance. Most of these providers lock your menu behind a paywall once you exceed a certain scan volume, essentially forcing you into a paid subscription.

The primary pitfall is the difference between static and dynamic codes. Free platforms typically generate dynamic links routed through their own servers. If the service shuts down three months from now or your monthly scan limit runs out you'll have to throw away all the acrylic table stands and stickers across 42 tables and reprint them. Even worse, some providers inject full-screen pop-up ads or tracking cookies before loading the menu exposing your guests to irrelevant third-party content.

The second critical issue is Italian food safety compliance. Under EU regulations, you are legally required to clearly and comprehensively display the 14 major allergens for every single dish before the customer orders. The basic templates on free generators rarely allow for granular allergen filtering and often break text formatting. In the event of a health inspection or customer complaint the business bears full legal liability.

The cleanest, zero-cost solution is this: upload a simple menu webpage or an optimized PDF directly under your own domain name. Then, generate a permanent, static QR code pointing directly to that URL. This eliminates any dependency on third-party SaaS providers, removes intrusive ads, and lets you update your menu on your own site whenever you want.

If you generate a static QR code, the target URL embedded in the code never changes. Just set up a dedicated, permanent menu page on your own domain and link the QR code directly to it; you won't depend on any third-party middleman. Whenever the menu changes, you update your site's content, not the QR code on the tables.

When we first opened, we stuck QR codes from a free generator onto 30 tables. By the end of month two, the screens locked up with an error saying we had exceeded the 500 monthly scan limit, showing a subscription checkout page instead of our food. In Italy, under Regolamento UE 1169/2011, allergen information must be made fully available to the consumer prior to ordering. On most free menu builders, gluten, lactose, or nut tags tend to get lost or improperly formatted during quick updates. Having an incomplete digital menu during a health inspection is grounds for an immediate administrative fine.

Everyone assumes going digital fixes everything, but half of local Italian customers still ask for a physical menu the second they sit down. Anyone over 50 generally hates browsing menus on a phone screen. Don't forget to account for cellar tables with zero mobile reception either; that's an instant disaster.

Just draft a clean, single-page layout in graphic software, export it as a lightweight optimized file, and host it on your own server. Put clean acrylic stands on the tables with a permanent link. Messing around with free ad-supported SaaS dashboards is not worth the headache.

A friend of mine who runs a cafe in Rome used codes from a free provider. One Saturday evening, customers scanning the menu started getting betting site ads on their phones. if u already have a website i'd say don't even bother with third-party software. just install a lightweight menu plugin on wordpress or set up a clean page and call it a day. at least that way you're not leaking data to outsiders.
