Looking for free software for a gym — is it enough or do you have to go paid?

I'm opening a roughly 250 sqm functional training and boxing studio in Moscow. Between renovations, flooring and buying equipment, I spent every last kopek of my 1,800,000 RUB budget. We're in the launch phase now with about 40 pre-registered members. Initial goal is to hit 150-200 active members.

I saw there are open-source or completely free gym management platforms online. Basically, I want to track check-ins, package expiration dates, and trainer sessions. But I can't tell how long these free tools will hold up.

Is it genuinely possible to run a gym smoothly on a free program or are you doomed to switch to paid setups after 3-5 months due to data loss or hardware limits like turnstile integrations? Would appreciate some guidance from experienced gym owners.

Short answer: Free gym software might get you by up to 30 to 50 members; but once you cross 100 members, lack of automated backups, zero hardware integration, and no technical support will grind your operations to a halt. If you plan to scale, you need a basic system with data export capabilities right from day one.

The first hurdle with free software is hardware incompatibility. The moment you want to hook up magnetic cards, RFID bands, or a turnstile, you'll find these free scripts have zero driver support. The second critical issue is database integrity. Running locally without backups or a cloud base means a single drive failure wipes out every membership term, remaining class credit, and payment log. That leads to an immediate crisis of trust with your members.

Base your decision to switch on these triggers: 1) Member count passes 70, making front-desk queues impossible to handle manually. 2) Trainer compensation gets complex and manual commission tracking falls apart. 3) Members start asking for a mobile app to book classes, where free tools fall completely flat.

I get the budget crunch right now. But when cloud management platforms offer starter tiers between 3,000 and 5,000 RUB a month, the churn caused by free software crashing on a random day will cost you way more. My advice: stick to a disciplined Excel setup for the first 2 months, then move to a budget-friendly paid program the moment cash flow starts.

Most free scripts are plagued by SQL injection flaws and PHP version incompatibilities. Plus, even if you configure a barcode or RFID scanner as a virtual keyboard, you won't be able to trigger two turnstiles at once. If you're hosting locally, do not enter any data without setting up a daily automated dump to an external drive via cron.

Almost every platform advertised as "free" online is a demo trap. Hit 50 members and they cut off SMS, hit 100 and you can't export to Excel. And for the ones that stay genuinely free, there's no guarantee they won't shut their servers down tomorrow.

We opened a similar studio last year. For the first three months, we tried tracking 85 members with free software. After an update, the entire list of outstanding balances got wiped out, and we had to reconcile accounts with each member one by one. It cost us at least 15 members who ended up quitting the gym. We lost way more just to save 4,200 RUB a month on software.

i know that cash-strapped feeling after renovations all too well... but trust me, an open-source interface freezing up while members are waiting at reception takes years off your life. even if you track trainer accounts in a simple notebook at first a solid cloud system is an absolute must for membership cards.

If you don't want to spend money right now, do this as a temporary fix: create a single row for each member in Google Sheets, enter their phone number and package expiration date. Don't waste time trying to learn some obscure free program, because migrating data from those to a new system is an absolute nightmare.

Will the gym have turnstiles, or will a receptionist check cards at the entrance? Also, are your packages time-based (monthly/annual) or session-based? These operational details are what determine whether the software will be enough.

we started with a free program by month three a trainer's sessions overlapped and two members got into a massive fight. honestly without a support line there's no one to fix the issue either. tbh look into cheap monthly plans, not worth the risk at all.
