We have a 12-person team at our corporate finance and consulting firm based in London. We hand out traditional printed business cards at dozens of industry conferences and client meetings throughout the year, running us roughly £450 annually. On top of that, whenever someone's title, direct line, or office address changes, hundreds of pre-printed cards end up straight in the bin.

One of our consultants suggested replacing physical cards by setting everyone up with a free digital business card profile on their phones and sharing contact details via QR code. Looking into the individual free tiers, the landing pages look sleek and the one-tap contact saving works really smoothly.

However, would standardizing on these free tools across a 12-person firm cause issues for our corporate image, data ownership, or information security? What hidden risks could come back to bite us later?

Short answer: While free digital business card platforms work fine for freelancers, in a corporate consulting firm they introduce risks like third-party ad displays, zero control over profiles when staff depart, and client contact data sitting in the vendor's database. For a 12-person team, preserving professional credibility requires centrally managed platforms or self-hosted solutions tied to your own domain.

The primary revenue model for free services is running ads on profile pages or harvesting contact exchange data. If a high-level client scans your consultant's QR code during a meeting and sees sponsored ads for other financial firms, it instantly undermines your professional standing. Furthermore, because these free accounts tie back to an employee's personal email, an ex-employee can easily keep using the digital card under your company's name and brand after leaving.

There's also no guarantee of link longevity with external platforms; if their terms change or the company folds, thousands of distributed QR codes will break overnight. A far more secure, professional alternative is building a standardized contact page for each employee on your own corporate domain that routes directly to a static vCard download.

The biggest technical issue with free services is the redirect domain. When a client scans the code, they get sent to a random third-party URL instead of your company domain. Setting up a static vCard redirect under a subfolder of your own website drives all that traffic back to you while completely removing third-party dependency.

At a London conference last month, a senior fund manager pulled out his phone and had me scan his free digital profile. As soon as the page loaded, an ad for low-interest loans popped up right at the bottom. Whatever credibility he had built during our conversation evaporated in seconds. It is simply not worth the £30-£40 savings.

Under UK data protection laws and GDPR, routing potential client contact information through third-party platforms can introduce serious compliance liabilities. Any free provider whose terms of service permit data mining or sharing contact details with third parties is an automatic non-starter for a professional advisory practice.

In finance, digital cards still don't resonate with everyone. If you're dealing with an old-school fund manager they might find fumbling for their phone to scan a QR code rather tedious. High-end stationery conveys prestige; pushing the entire team exclusively to digital could come across as impersonal to certain clients.

If you're going to use a free platform, make sure these two rules are set in stone: 1) Accounts must be registered with company email addresses, not the staff's personal ones, 2) You need a corporate handover agreement in place so the profile can be deleted immediately if an employee leaves.

When a free provider changes its terms of service or shuts down, the QR codes you've handed out to hundreds of clients instantly turn into dead links; that's not a risk worth taking at an enterprise level.

You can ask your webmaster to set up a simple profile page under your company domain for each consultant. Adding a downloadable contact card file to that page lets you go digital at zero extra cost, while keeping full control of your company's image.

The biggest time-waster for us was not knowing who had the final say. If I were you I'd go this route.
