We run an independent hair and skincare studio with three styling chairs in London. Up until now, we've handled client bookings over the phone, through messaging apps, and by jotting them down in a paper desk planner. However, between double bookings and missed appointments, it's starting to cost us serious time.

I started looking into tools marketed as 'free booking software,' but almost all of their landing pages make it look like there are zero limitations. We signed up for one of these systems last week to test the waters. By the third day, a prompt popped up saying we had to purchase an add-on package for 25 pounds a month just to send reminder texts to clients.

What's the real catch with the free versions of this kind of software? At what threshold do they actually start asking for money? We don't want to fall into a trap after trusting our entire client directory and history to the platform.

The revenue model for these tools relies on three main catches: 1) Communication limits: While email notifications are usually free, text messages—the main driver for cutting down no-shows—come with high per-message fees or mandatory bundles. 2) User and volume caps: Free plans generally cap you at 30–50 appointments a month; running three chairs in your studio means you'll hit that ceiling within the first week. 3) Payment processing fees: If you want to collect deposits or upfront payments through the platform, they take transaction fees well above standard rates.

From a data privacy standpoint, the biggest risk is that they often won't let you bulk export your client list if you ever decide to leave. Before signing up, you should test firsthand whether the export feature is actually unlocked on the free plan.

We hopped onto a platform for our massage clinic in Manchester because it said it was free. By month four, we hit 120 clients, and they locked our calendar. They told us we wouldn't be able to see our upcoming appointments unless we upgraded to their 35 pounds/month plan. We had to pay up because migrating our data right then and there would've taken two days.

No cloud software company out there is a charity. The free tier is just a clever way to get your staff to test their product for them. They let you upload all your data, get you hooked, and the second migrating away becomes more painful than paying 30 pounds they slap you with an invoice.

Go into the settings of the dashboard you registered for and check whether the 'Export Customers' or 'Download CSV' button actually works. If that button is greyed out or tied to a paid tier, bail immediately. Don't let them hold your client phone list hostage.

We tried a free system two years ago with similar hopes. It turned out the confirmation emails sent to our clients had ads for competing salons slapped across the very bottom. Turns out the 'cost' of the free plan was advertising other businesses inside our own salon—we shut the account down the next day.

imo just budget 20-30 pounds a month from the start and go with an honest software that has clear terms. i mean dealing with the hidden costs of free ones just burns you out it's not worth your time.
