Someone suggested an "online booking system" — do we actually need one for our salon/clinic?

We run a beauty and skincare center in Kadıköy with 3 specialists and 1 receptionist. We see an average of 22 clients a day. Right now we write down all appointments in a paper planner at the front desk with a ballpoint pen or we try to manage them through incoming messages on our WhatsApp business line.

Over the last three months, we've noticed that especially for messages coming in after 8:00 PM, clients slip away to other clinics before we can get back to them the next morning. On top of that, at least 7-8 times a month we deal with tense situations like "I said 3:00 PM, not 2:00 PM," or double-booking the same specialist for the exact same slot.

Last week, one of our equipment suppliers recommended setting up an online booking system. But looking online, there's a huge price range from ready-made cloud tools for 400 TL a month to custom-built platforms quoting 30,000 TL. In your opinion, is a system like this a luxury or a necessity for a business our size? Is it realistic to ditch phone bookings completely, and what are the setup costs and learning curve like?

When making the switch, there's no need to take on expensive custom software builds. Standard off-the-shelf cloud solutions run on subscription models between 400 TL and 1,200 TL per month. These platforms assign a separate calendar to each staff member, set service durations (e.g., 60 minutes for a facial, 30 minutes for laser), and automatically prevent double-bookings.

The biggest ROI you'll see after launch comes from automated SMS and text reminders. Confirmation alerts sent 24 hours and 2 hours before the appointment drastically reduce no-shows. Plus, you give clients the flexibility to book even when your doors are closed.

You don't have to shut down your phone or WhatsApp line, and you shouldn't. Clients can still call in; your receptionist simply enters the appointment into the software instead of writing it in a paper diary. That way, both online bookings and phone calls sync into a single, error-free calendar.

You'll never get phone calls down to zero, but it cuts the workload in half. We switched to a similar setup three years ago. The best part was freeing staff from answering calls after hours. A client books from bed at midnight, and it shows up confirmed on the system by morning. Leaves the front desk with actual time to take care of guests in the salon.

We're a 5-person hair salon. Before switching, we averaged about 14 no-shows or last-minute cancellations every month. Once we turned on automated reminder texts in the booking software, that dropped to 2 or 3 cases a month. It also shaved at least 2 hours a day off front desk phone time. The 650 TL monthly software fee paid for itself in the first week.

Everyone talks about booking systems like magic, but older clients don't want to fill out forms. Our clients over 45 kept insisting on calling and talking to a real person. So if your front desk doesn't have the discipline to update the screen manually for phone callers, the system will just cause twice the mess. Be ready for that.

definitely do not drop 25-30k lira on custom software. just grab a 14-day free trial of one of the monthly SaaS platforms. hook up one specialist's calendar first, test it out for a couple days, and if the team gets the hang of it, migrate the whole salon.

note: I wrote this based on my own experience, it might not apply to everyone.

just put the booking link in your bio and your whatsapp business auto-reply. honestly set it to send that link to messages coming in after hours, younger clients usually just pick their slot and book it themselves anyway.

How do you plan to handle your cancellation and reschedule policy? That's the most critical part when setting this up; are you putting penalties on no-shows, or do you just want scheduling convenience? Are you considering an upfront deposit or prepayment module?

To make the transition painless, follow these three steps: 1) Input your full service list and exact durations down to the minute. 2) For the first month, walk every phone caller through the process by entering them into the system while on the call. 3) Send an automated confirmation prompt 3 hours before the slot so you can instantly free up the spot if they aren't coming.

I think it's hard to be that definitive about online booking system... Measure first then divide... When the order is right the debate ends.

i partly agree, partly disagree. honestly solutions that work at a small scale collapse when you grow; I learned this late.

when making a decision also wrtie down the cost of reversal. of course it varies if your situation is different.
