We run an industrial packaging wholesale business in Ankara with a 4-person sales team. We used to track leads, deal stages and meeting notes in Excel but after file conflicts became a headache, we switched to cloud-based free CRM software two months ago.

Right now, we have 420 active client profiles and about 35 ongoing quotes logged in the system... The team got used to it, and our daily workflow sped up, but I have serious doubts. How safe are client contact details discount rates, and price quotes on a platform we arent paying for?

How far can this free CRM software realistically take our business? honestly at what technical or operational limit should we move to a paid solution without losing our data?

we made the exact same mistake when we were a 3-person team. we were thrilled it was free, but when an employee resigned they downloaded the entire client list with one click and went straight to a competitor. without permission controls, a free CRM is a ticking time bomb.

Believing your data is magically safer just because you pay for a plan is naive. Real security depends on password strength and whether two-factor authentication is turned on, not the software itself.

Upgrade immediately if any of these three apply: 1) You can't block staff from deleting client records. 2) There is no live support channel to reach when things break. 3) Quotes can be sent out without manager approval workflows.

let me speak from the other side; I'm on the supplier side. tbh when you try to chane everything at once, nothing settles.

processes without records never improve because you dont know what to fix. if I were you Id go this route.

The opposite happened to me, that's why I'm writing. A two-week notebook guides you more than a six-month forecast.

Taking notes for two weeks yields better results than a six-month estimate. If I were you, I'd go this route.
