We are an industrial kitchen equipment manufacturer with 18 employees. We have a 6-person team actively out in the field handling sales and customer relations. We attend at least three major trade fairs a year and hand out hundreds of paper business cards at each one.

Whenever a phone number, title, or email address changes, boxes of leftover printed cards just go in the trash. Last year, we paid around 12.000 TL total for card printing and design revisions. Now we want to transition our team to an NFC and QR-code-based digital business card setup.

Out there, some agencies charge monthly per-user licensing fees or want 600-800 TL per physical card. On the flip side, some say we can handle this internally by simply putting up a basic profile page under our own domain and writing the link onto blank NFC cards. As the team grows and turnover happens, does managing an in-house setup become a headache? Does it make more sense to buy a turnkey package from outside or build our own infrastructure?

Short answer: Paying an external monthly license fee for a team of 6 creates an unnecessary cost burden in the long run; a dynamic setup built under your own domain gives you full data control and can be updated instantly whenever an employee leaves.

To build your own solution, you only need two components: a web-based profile template and physical NFC cards. You can create a unique URL under your company website for each team member and add an "Add to Contacts" button (a direct link that downloads a vCard file) to that page. Grab blank NTAG216 chip plastic cards for around 30-50 TL each, then program the link onto the cards using free NFC writer apps on smartphones. That way, when someone's title or phone number changes, you don't even have to touch the physical card—just update the info on the webpage.

The only scenario where outsourcing makes sense is for large corporations with hundreds of employees that want to auto-sync business card details with HR software. For a 6-person setup, paying recurring foreign currency or hefty monthly subscriptions per user to turnkey platforms will bleed your budget dry. Plus, if those third-party services shut down or hike their rates, all your cards become useless paperweights. Using your own domain also looks far more professional and prestigious since you're presenting clients with your own brand's link.

If you go the DIY route, the critical detail to watch out for is chip selection. The most common ones on the market are NTAG213 and NTAG216. An NTAG213 won't fit a full contact card directly, only a short web link. That's why you should definitely write your website's profile link to the card, never hardcode the raw contact info. If you set up a dynamic link redirect, you print the card once and use it for life.

We signed with an agency last year for our 10-person sales team. They charged 650 TL per card, plus an annual maintenance invoice of 3.500 TL for the dashboard. Three months later two sales reps left, and they even charged an extra processing fee just to reassign their dashboards to new hires. For that money, we could've easily had someone build a clean WordPress template internally.

Don't overcomplicate it; just hand your web designer half a day of work. Have them whip up a sleek profile template hosted on your company domain. Buy blank metallic-finish NFC cards online and get your logo laser-engraved at a local sign shop. Your total cost won't even exceed 2.000 TL.

NFC sounds high-tech, but that's not how it plays out in the field. When you try to tap the card to a prospect's phone at a trade show, their case is too thick to read it or they have NFC toggled off. Make sure to print a clean, prominent dynamic QR code on the back. 80% of people prefer just opening their camera and scanning the QR.

we just threw up simple html pages on a subdomain for each employee. tied the vcf file to a button. btw user clicks it and the add contact prompt pops rgiht up on their phone. no need to go chasing dashboards or whatever tbh, worked out super smooth.

Weigh these three risks before deciding: 1) If the external service goes bust tomorrow, every single card you bought is trash. 2) If you roll your own, you can deactivate a departed employee's page instantly and redirect that incoming traffic to head office. 3) By using your own domain, you drive the visitor directly to your own site instead of a third-party platform.

Since these digital profiles will display employees' personal or corporate contact information, I recommend paying close attention to data privacy regulations under KVKK. If you opt for an external cloud provider, verify whether the data is stored domestically or abroad, and ensure appropriate disclosure notices are in place.

Is your trade show audience mostly domestic or international? Foreign buyers often prefer taking a physical card and tossing it straight into their wallet. Are you planning to drop paper entirely, or keep a small batch of high-end paper cards on hand alongside the digital ones?
