Need to create an online product catalog: separate website or add it to our existing one?

We are a small-scale manufacturer based in the Brescia region of Italy producing commercial kitchen equipment and stainless steel prep tables. We have around 140 wholesale dealers across the country and neighboring areas who place regular orders. For years, we've been printing and shipping a 90-page physical product catalog twice a year; printing and shipping costs us around 4,000 Euro each time.

Lately raw material prices fluctuate on a monthly basis, so the printed catalog becomes outdated before it even reaches our dealers. That's why we decided to move our entire product line to an online catalog. However since we already have a corporate website, should we build an entirely separate B2B platform for this catalog, or would simply integrating a catalog module into our existing site be enough?

We're looking for a system where wholesalers can easily view technical drawings, dimensions, and dynamic pricing, and where we can handle weekly updates without having to rely on an agency. Roughly how much would the technical setup and ongoing maintenance cost for this kind of transition?

Short answer: If your existing corporate website's tech stack is up to date, adding a catalog module to a subfolder on your current site makes far more sense than launching a new site on a separate domain, both financially and operationally. Running a separate site means having to deal with the maintenance, security, and hosting costs of two distinct systems.

Here's the roadmap I'd suggest for this transition: 1) Install a catalog plugin or template on top of your current setup with the cart and checkout disabled, serving strictly to showcase products and request quotes. 2) Set up a user login portal for your B2B clients; this lets you keep technical specs and images public, while keeping discount rates and dynamic wholesale pricing gated strictly for approved dealers. 3) Implement a bulk import/export setup so you can update product data in one go straight from a spreadsheet.

Cost-wise, building a custom B2B portal from scratch usually starts around 3,000 to 6,000 Euro, whereas integrating a professional catalog setup into your existing site typically runs about 1,000 to 1,800 Euro including licensing and agency setup fees. As for ongoing maintenance, it basically just boils down to bumping your current hosting tier up a notch. Doing this will practically wipe out the 8,000 Euro a year you currently spend on print catalogs.

Moving to a separate domain means tossing away all the domain authority your corporate site has built up over the years. Setting up the catalog in a subfolder will give your main site's search engine visibility a massive boost. Plus, you can attach technical drawing PDFs straight to the product pages.

We ditched the printed catalog for our 220 furniture hardware items. Having a catalog section built into our existing site cost us 1,200 Euro. Uploading weekly price updates via a single spreadsheet takes us maybe 15 minutes. We netted a 6,500 Euro profit in the first year alone.

Don't expect your dealers to adapt overnight. Most wholesalers are still used to flipping through physical pages to order. Even if you build an online catalog you really should add a one-click button to download a PDF with up-to-date pricing, otherwise your phone won't stop ringing.

Before you jump into complicated software, just define a custom post type for products inside your existing CMS. Keep the price field hidden and only visible to logged-in dealers with a basic membership setup, and you'll have it sorted in two weeks.

In Italy, when showing wholesale B2B pricing, it's a legal requirement to clearly state that prices exclude VAT. Furthermore, having dealers accept your corporate terms of sale and warranty conditions directly within the catalog platform provides solid legal protection.

our wholesalers initially complained that they couldn't work off a screen but but once we set up dedicated logins for each dealer showing their exact discount rates right there they absolutely loved it... tbh now they just copy the product code straight into an email and our order errors dropped to zero.

no need for a separate site at all its just a waste of money... just add a subpage to your current site list the products there and put the prices behind a password protected area works like a charm.
