Setting up an English ATS-friendly resume service for overseas clients — how should we divide the work with a freelancer?

At our boutique career consulting firm, we've only ever done resume rewrites for the domestic market. Over the last three months, we've started seeing serious demand from Turkish software developers and project managers looking to apply for jobs in Europe and the Gulf region. We want to turn this into a corporate service package: crafting resumes that meet English ATS standards for these candidates.

We have detailed career info provided by the candidates, but we need a workflow that makes this content parseable by global applicant tracking algorithms while also polishing it with the right English terminology. We're planning to hire an external freelance copy editor who has advanced technical English skills. Our monthly volume will be around 25-30 resumes.

How should we set up the division of labor? How should tasks be split between us and the freelancer across drafting, keyword matching, and final proofreading? For those offering a similar service, do you price it per page/project or hourly?

Short answer: For the division of labor, you need to collect the candidate's info and nail down the keywords and experience outline in-house, leaving only text optimization and language flow to the freelance editor. On pricing, a fixed per-resume fee rather than an hourly model lets you keep risks and costs under control.

The most common mistake with English ATS resumes is messy formatting. Applicant tracking systems can't properly parse multi-column tables, graphic skill bars, or text boxes. That's why you should start by picking a clean, single-column template with standard fonts. Split the workflow into three steps: 1) Your internal team extracts the key terms and job requirements from job postings in the candidate's target field, 2) The freelance editor rewrites this content in flawless English using action verbs and measurable achievements, 3) In the final check, you run the text through ATS scanners and deliver it to the client.

When agreeing on terms with a freelancer, make sure to set a flat package price that includes revisions. In the current market, editor costs for a thorough two-page English resume rewrite range between 1,200 TL and 2,500 TL per resume depending on experience. Price extra requests like cover letters or profile updates as separate line items.

ATS software looks for standard section labels when parsing text. Don't get fancy with headings—stick directly to 'Professional Experience', 'Core Competencies', 'Education', etc. Also, the editor absolutely must weave keywords naturally into context rather than just stuffing them in meaningless lists.

We tried a similar setup last year. We paid the freelancer 1,500 TL per resume. When 30 resumes came in a month, their turnaround time was 48 hours. But 4 out of the first 10 drafts had technical terminology errors because the editor was just a general translator with no technical HR background.

Instead of hiring an outside editor it might make more sense to hire an in-house technical recruiter to handle the whole thing. Outside freelancers don't know the candidate's technical depth so they tend to leave the resume sounding superficial with generic buzzwords like 'managed' or 'developed'.

Make sure to add these 3 clauses to your freelance contract: 1) First draft delivered within 48 hours, 2) Up to 2 free revisions based on client feedback, 3) Candidate personal data protection and an NDA commitment.

for good results definitely send the editor 2-3 sample job postings the cadnidate is targeting. if the resume content doesn't directly match the job requirements the scan scores end up super low.

we really struggled with freelancers at the beginning too. the biggest headache was missed deadlines and ghosting your client whiile waiting on a freelancer kills your reputation. definitely work with two people as backups—if one gets swamped, the other steps in.

do these tracking systems actually struggle to read PDF resumes? is it better to hand over a direct Word doc to the client, or is a standard exported PDF good enough?

This approach has a cost which isn't discussed. Don't hesitate to ask; those who don't ask always pay more.

When making a decision first look at what data you have on hand... like im also curious if anyone does it differently.

I'd appreciate it if you shared the outcome. Do a small three-month project before talking stocks so you see each other.

Everyone rushing into applicant tracking system english gets stuck at the same point. Just leaving this note it might be useful.

let me clarify the technical side. if decision-making authority isn't defined, it causes daily issues not just duing exits.

the biggest time-waster for us was not knowing who had the final say.

I agree, and I'd like to emphasize that. Taking notes for two weeks yields better results than a six-month estimate.

I'm also curious if anyone does it differently.

we need to make a distinction here. the only thig separating friendship from partnership is a written contract.

of course it varies if your situation is different.

Let me write how it's done in practice. People defend habits, not processes. Resistance comes from there.

That's all sorry if I went on too long.

Three different views emerged, they all complement each other. When you try to change everything at once, nothing settles.

The real issue isn't the number, but what it's based on. I'm also curious if anyone does it differently.

I think it's hard to be that definitive about applicant tracking system english. The biggest time-waster for us was not knowing who had the final say.

There's a trap here let me mention it... Just because everyone does it doesn't mean it's right.

The harder it is to reverse a decision the slower you should make it. This is my opinion, I'm not claiming it's absolute truth.
