were a 12-person software and design agency. honestly up until now, we handled hiring once or twice a year without breaking a sweat, relying on personal recommendations or reviewing the 20-30 CVs that landed in our inbox. but this month we posted two new openings on social media and career job boards and we ended up with over 400 applications in three weeks.

its total chaos right now... cVs are scattered across the inboxes of three different managers. we set up a shared Excel sheet but who invited whom to an interview who got rejected, and what notes were left on which candidate is a complete mess. two candidates accidentally received duplicate rejection emails and we completely forgot to send a technical assessment to another.

while researching online, I came across the concept of an applicant tracking system. the monthly per-user costs are pretty noticeable for a small team like ours and btw do these systems actually resolve this mess or would it just be an unnecessary luxury for a 10-15 person team? would love to hear from folks who made the jump from Excel to this kind of tool.

If you only get this kind of application spike once a year don't jump into an annual software subscription right away. A lot of teams buy a system but people get too lazy to log notes, and three months later everyone is back to chatting on Slack and email anyway. The real issue usually isn't the tool it's the team's discipline around candidate reviews.

For now, just to put out the fire, you can use online form builders. Collect all applications through a single online form and automatically dump them into a free kanban board. Each candidate becomes a card where you can drop your notes. Once hiring becomes a constant thing for you, then you can upgrade to a professional system.

we messed up with excel too interview slots got double-booked and we only realized when the candidate showed up at the office total embarrassment tbh. even a cheap tool is a lifesaver it automatically shoots an email when a candidate moves to the next stage saves u so much headache.

sending duplicate rejection emails definitely sucks, but don't worry pretty much every growing team goes through this. don't let it kill the team's morale; even a basic filtering system to quickly weed out 350 of those 400 applicants will give you some breating room right now.
