I handle the management of 12 apartments in Dubai all on my own, registered under our family and two business partners. The portfolio's annual rent volume is around 680,000 AED. Payments are usually collected in two or four post-dated cheques. For about two years, I've been tracking all tenant details, lease start and end dates, municipality registrations, and maintenance expenses in an Excel sheet I built myself.

Last month because of a slight cell shift in a formula, I noticed a 90-day contract renewal notice deadline two weeks late. We managed to reach an agreement with the tenant at the last minute, but we almost faced a serious loss on rent increases and legal penalties due to official lease renewal rules. On top of that, manually logging weekly maintenance expenses like AC breakdowns, water leaks, and cheque due dates takes me at least 4 hours a week.

While searching online I came across some cloud-based platforms promoted as completely free property management software. Does it make sense to switch to a free program for a 12-unit portfolio or do these tools eventually throw hidden limitations at you for cheque and collection tracking? What should I watch out for when migrating two years of Excel data into these systems?

Short answer: Relying on completely free property management software for a 12-apartment portfolio is not a good idea; these platforms usually lock you out after five or ten units and put critical features like cheque tracking behind a paywall. With a rental volume of 680,000 AED, the cost of a two-week delay far exceeds the software fee; you should either reinforce your current spreadsheet with protected formulas or switch to an entry-level paid tool.

The biggest pitfall of free property software is their collection and statutory notice mechanisms. In the Gulf market, the core of property management is post-dated cheques and official notice windows. Since most free tools are built around global standards, they don't support multi-cheque tracking, bank clearing dates, or bounced cheque alerts. Plus, when you try uploading files like tenancy contracts, ID copies, or maintenance invoices, they often slap you with a ridiculous 100-megabyte cloud storage cap to push you into a paid plan.

If you still want to test out a software migration, don't dump your data in all at once. Clean your spreadsheet first: 1) Convert tenant names, phone formatting, lease start-end dates, and cheque schedules into a CSV with standardized column headers. 2) Instead of importing all 12 units at once, pilot 2 units that are either vacant or recently renewed. 3) Run your old spreadsheet and the new tool in parallel for at least two months to make sure notifications fire correctly before shelving your Excel file for good.

Free software usually runs on one of two business models: either they hook you in and suddenly hit you with a monthly fee after five units, or they disable the data export button. In other words, the day you want to leave, they basically hold two years of your collection history hostage. 12 units might not sound like a lot, but the legal liability is massive—you don't entrust your business to free tools.

I used a similar free tool while managing 14 apartments over in Sharjah. I entered the first 8 units without an issue, but on the 9th, a pop-up said I'd reached the free limit. They wanted 130 AED a month to continue. I tried going back to Excel, but it wouldn't let me export the tenant communication history. It took me 10 hours to manually copy every lease and past payment into a fresh spreadsheet.

When using a free tool, have you ever looked into where their servers are hosted and how sensitive tenant documents like passports and residency visas are stored? Personal data protection laws in the United Arab Emirates have become quite strict. If there's a data breach tomorrow and tenant documents get leaked, you won't find a single person to hold accountable since you're using a free service.

Before jumping to new software, secure your current spreadsheet first. Set up conditional formatting on date columns to calculate days remaining from today, and password-protect cells containing formulas. Free tools won't save you time tracking cheque due dates; instead, they'll make you upload receipts for every single expense and waste twice as much time.

every free dashboard always has a catch. we tried one for our eight-unit family building and after three months they said our email reminder quota ran out... when that alert didnt go off the water bill was late and we paid a penalty. honestly dont bother, just clean up your spreadsheet, way cleaner that way.

Are the lease agreements set up with a single annual cheque or split into four cheques? Also are expenses like AC and common building charges deducted directly from the rent, or invoiced separately to the landlords? Almost no free tool supports these kinds of offset/settlement models, so you need to clarify that workflow first.

Two years ago, I eagerly migrated all our units to a free system too. Everything seemed fine for the first three months, but the system failed to send a notification for a unit whose municipality lease registration deadline was approaching—turns out my notification limit was exceeded. The tenant got auto-renewed, we couldn't raise the rent, and we lost 8,000 AED on that single unit alone. That was the day I went straight back to spreadsheets.

Before switching to any software, make sure to test these three criteria: 1) Can you download historical tenant and cheque data as an Excel file anytime with a single click? 2) Can you roll over due dates in case of partial payments or bounced cheques? 3) Does it automatically reflect maintenance expenses on a per-unit P&L statement? If even one of these is missing, being free won't do you any good.

I disagree with you on this point. If you're offering equity instead of salary, also state what you're offering in return.

Don't hesitate to ask; those who don't ask always pay more. If I were you I'd go this route.
