Downloaded a free booking software — is my data safe, and where does it fall short?

I run a 4-person beauty and nail salon in Kadıköy. tbh we handle around 220-250 appointments a month, and up until now we wrote everything by hand in a large desk planner. Last week, to get things organized and prevent missed bookings, I found a free booking program on one of those download sites and installed it on our PC.

For now, it just simply logs names phone numbers, and the service booked. But it's completely unclear who built this software—I can't tell if there's an actual company behind it or if it's just an old project by some student. Could entering clients' phone numbers and booking histories into software with an unknown source get me into trouble under KVKK or general security regulations?

What are the real limitations of this kind of free software and where is the database actually saved? If the PC crashes or dies one day, can I recover this data? At what point should I switch to a professional licensed, cloud-based system around the 300-500 TL/month mark?

Short answer: The database of the free program you downloaded is most likely stored unencrypted as a local file on your hard drive, carrying just as much risk of total data loss as it does of a data leak. Storing client phone numbers without backups in software from an unknown source and developer puts you directly at risk in your legal capacity as a data controller.

To understand what you're dealing with, first disconnect your internet and see if the app still works. If it opens offline, the data is stored locally; in that case, the biggest risks are hidden malware and the possibility of losing your entire client roster if the computer fails. If you aren't copying that database file to an external drive daily or weekly, the first system crash will paralyze your business.

If the app connects to a remote server in the background, the situation is even more serious. You cannot obtain valid explicit consent from your clients without knowing whose server their contact details sit on or what country it's hosted in. That violates regulations, and in the event of a leak, you will face legal penalties.

The threshold for upgrading from free to paid usually comes down to three things: 1) needing to manage multiple staff schedules without clashes, 2) wanting to send clients automated SMS or confirmation reminders, and 3) needing reliable cloud backups and tech support. A cloud-based subscription around 300-500 TL per month is far cheaper than the cost of losing a single week's worth of appointments.

the biggest catch with those programs is they usually get zero updates. i installed some desktop app 2 years ago, windows updated the db got corrupted and i had to pay a tech guy a ton of money just to recover 400 client numbers.

Check the install directory and look at the file extensions. Usually, there's a local database file sitting right out in the open. If it's stored in plaintext inside that folder, even simple ransomware infecting your PC will lock it instantly. Free desktop apps almost never offer file-level encryption.

Consider these risks before deciding: 1) If the developer disappears tomorrow, you have zero support, 2) If it lacks an export feature (Excel, etc.), your data is locked in, 3) Without SMS confirmations, no-show rates won't drop. Personally, I'd move to a legit business platform at the first opportunity.

At our 3-chair hair salon, we stuck with free Excel sheets and local software for the first 6 months. We had friction with at least 8-10 clients a month over double bookings. Once we started paying 400 TL a month for a cloud system, missed appointments dropped to zero, and the confirmation texts more than paid for themselves.

Did you agree to a terms of service or privacy policy when installing it? Also, did it prompt for admin permissions during setup? If there's background telemetry collecting data, your other operations on that PC could be compromised as well.

I completely get wanting to ditch the paper planner; jotting things down while your hands are covered in dye is a nightmare. But whatever you do dont install unknown software on the front-desk register PC. like if it holds financial records or POS card data, you could really get burned.

Try exporting an Excel or CSV file from the program right now. If you can't export your data, ditch it immediately. That way, if the system dies tomorrow, you won't be stuck calling every client manually.

The limits of free downloaded desktop booking tools end the day you suffer your first data loss. For a commercial business, protecting your client list is worth far more than saving 300-400 lira a month on a software subscription.
