We're a two-person crew renting out sound, lighting, and small stage systems in the Paris suburbs. Right now we have exactly 20 main equipment categories, including mic sets, active speakers, and LED panels. On weekends we supply an average of 4-5 different events, and our monthly rental revenue sits around 6,500 EUR.

For now, we're trying to manage booking overlaps and returns using a free, open-source inventory tracker. But the tool lacks automated maintenance scheduling, tracking for missing accessories, and any dispatch planning. Manually double-checking cable bags and accessories on every dispatch is starting to eat up a massive amount of time.

How sustainable is free software for an operation our size? At what exact point does it make sense to switch to dedicated rental management systems that cost 80-100 EUR a month in licensing?

Short answer: with 20 main gear groups, free software will prevent calendar overlaps for a little while longer, but it won't keep your rental operations sustainable. The real bottleneck isn't the number of primary units—it starts when you lose cables, adapters, stands, and other accessories inside the flight cases. The moment prep and shortage checks start eating up more than 5 hours a week, you need to switch to an industry-specific tool.

Free inventory tools are usually built for static warehouse management. Event gear rental is a dynamic cycle: gear goes out, stays on site, comes back, gets tested, gets cleaned, and heads back out. Free systems lack maintenance cycles and "out of service" flags, so accidentally booking a busted mic for the next client is basically inevitable.

Weigh your turnover against your loss rate when deciding. Making 6,500 EUR a month, leaving two high-end XLRs or a wireless receiver power supply behind on a gig already runs you 70-100 EUR a month. Paid rental software uses kit logic—linking every sub-item to a master item and checking them all out via barcode—which cuts those losses immediately.

Plan the migration before your 20-unit inventory hits 30 or your weekly bookings pass 8. During the transition, make sure to: 1) slap durable barcodes on every single cable and flight case, 2) log your full kit and spare part lists into the system, and 3) write down a strict return check-in protocol.

The biggest flaw with free tools is that they don't support parent-child relationships. When you rent out a speaker, only the cab shows up in the system; the power cord and slipcover are nowhere to be found. If you aren't tracking individual items by QR code or serial number, free software will leave you with missing gear in the warehouse within two months tops.

We started with a very similar setup. Used a free spreadsheet and an open-source tool for the first six months. By the end of it, we realized untracked small losses had cost us around 900 EUR. Paying 85 EUR a month for dedicated rental software dropped our loss rate to practically zero.

Can this free system automatically generate delivery notes and sign-off sheets for your clients? Or are you drafting invoices and dispatch paperwork manually somewhere else? That paperwork burden is where your real bottleneck lies.

20 main units doesn't sound like much but try rushing gear out to three separate weddings on a friday evening and those cables will turn into pure chaos... a free system will blow up in your face eventually imo switch to dedicated software before the season kicks into high gear.

Don't expect paid software to magically fix everything on its own. If your warehouse staff doesn't build a strict habit of scanning barcodes on every dispatch, that 100 EUR monthly license is just money down the drain. Without discipline, even the priciest software is just an expensive list.

First thing you should do tomorrow is drop a laminated packing list into every case. Use these physical checklists for return checks until you swap software—at least that'll curb the lost cable bleed during the weekend rush.

Had a contact doing AV rentals out near Lyon. While managing bookings on a free calendar he ended up confirming the exact same wireless mic kit for two separate corporate launches. Had to sub-rent last minute at an exorbitant rate, completely wiping out his profit for the day. He switched to pro software right after that.

When you try to change everything at once, nothing settles.
