Looking for free appointment booking software for my beauty salon — where do the limits kick in?

We run a boutique beauty salon in Kadıköy with 3 styling chairs and 1 skincare treatment room. We handle an average of 15 to 20 appointments a day. Up until now, we've managed all bookings using a paper desk planner and the staff's personal phones. But double-bookings, forgotten sessions, and last-minute cancellations have seriously started hurting our business.

I don't want to immediately commit budget to salon software subscriptions that range between 750 TL and 1.500 TL per month. Because of this, I've been looking into cloud-based appointment scheduling tools that advertise themselves as free online. But I hear that free plans usually come with hidden ceilings and major limitations.

How long can a salon realistically get by on a genuinely free plan? Where do the walls hit when it comes to booking volume, client profile limits, or backing up historical records? I'm worried about handing all my data over to a platform only to get forced into a paid tier or end up unable to export my records later.

Short answer: Free booking tools usually hit a wall once you reach 30 to 50 appointments a month or 100 client profiles; on top of that, automatic SMS reminders and data exports are almost never included. At your salon's volume (averaging 18 bookings daily, roughly 450-500 appointments a month), you will blow through a free plan's quota within your first week, so you really need to go straight for a basic paid tier.

Free tools impose three core restrictions to offset their server and operational overhead. The first is staff capacity; free tiers almost always limit you to a single service provider and a single calendar. Your setup with 3 chairs and 1 room demands 4 concurrent schedules, meaning you'll outgrow the system on day one.

The second critical issue is data ownership. Many free platforms won't let you query appointment histories older than 30 days, or they won't let you bulk-export your client database to an Excel sheet if you ever decide to switch tools. That effectively holds your customer book hostage.

A software expense around 1.000 TL a month easily pays for itself by preventing just 2 no-shows or canceled bookings a month. Rather than chasing free tiers, I suggest picking a local flat-rate software provider that guarantees raw data export (CSV downloads), offers transparent SMS pricing, and supports up to 4 staff members.

we signed up for a "free" system last year and the moment we crossed 50 appointments in the first month the calendar locked up completely. clients were left standing at the door. we were forced onto their most expensive tier just because they wouldnt even let us download our records as an excel sheet. free tiers are honestly just bait.

When looking at free plans, check these three things in the terms: 1) Can you do a bulk data export, or do they hold your client list hostage? 2) Are automated reminder texts included, or do they charge crazy high rates for SMS credits? 3) Can you view multiple staff calendars at the same time?

Do you take deposits from clients with 15-20 appointments a day? The biggest downside to free software is the lack of payment gateway integration. Doesn't the cost of an empty chair from no-shows end up being way higher than the annual cost of the software anyway?

It was just the two of us nail techs when we switched from paper to free software. By week two we hit the 60-appointment cap. Because we didn't upgrade to paid, they masked the last 4 digits of our clients' phone numbers with asterisks. In a panic, we started paying 900 TL a month. Make your call before you jump in.

If you don't want to spend money on software right away, set up a shared Google Calendar with color coding for each staff member. At zero cost, you'll at least avoid double bookings. But you won't be able to track client analytics or session packages that way.

I don't trust booking software that claims to be completely free one bit when it comes to data privacy. They cover server costs either through ads or by selling client data to third parties. In the beauty industry client confidentiality and security should always come first.

A business handling 20 appointments a day won't even last 5 days on a free plan, spend your energy looking for proper software with a clear contract instead.
