Free private school management software: 220 students, grades and attendance — is it enough?

I manage the administration for an independent private primary school in the Paris suburbs with 220 students and 18 teachers. Our annual tuition averages around 3,800 euros per student, but between building rent and teacher salaries our budget is extremely tight. Up until now, we’ve handled grade entries, daily attendance, and parent communication through messy spreadsheets and email threads; however, as the number of parents grew, the margin for error became way too high.

The major school management platforms charge an annual license fee of 6 to 10 euros per student, which adds an extra burden of 1,500–2,000 euros a year for us. Some vendors have also quoted a one-off setup and data migration fee of 1,200 euros. We really don’t want to allocate budget to this line item.

We want to switch to open-source software or something with a solid free tier. Can grades, attendance parent updates and most importantly, overdue installments or invoice tracking run reliably on a free system? If we need to switch platforms down the line, what kind of risks will we face when exporting parent and grade data?

Short answer: At the scale of 220 students, a free school management tool will handle grade entry and attendance tracking without issues, but it falls short on accounting and official parent communications. Unless you opt for an open-source, self-hosted infrastructure, you risk running into severe data loss and hefty technical costs when migrating your data to another platform down the road.

Because grade and attendance modules work on standard school database logic, teacher permission settings in free editions are quite stable. You can easily define roles to ensure your 18 teachers can only access their own classes. However, when it comes to invoicing, overdue installments, and cafeteria payments, free tools are rarely more than basic spreadsheets; they don't provide automated payment reminders or official bank integrations.

The most critical factor regarding data migration risk is verifying whether your chosen tool allows you to export the entire database in standard formats (such as SQL or CSV). Some free cloud platforms let you import data easily, but then charge a per-student fee to export it or hand over report card histories in fragmented formats. If you set up an open-source system under your own control, you won't fall into this trap.

To avoid committing to a 1,500 euro annual license budget, the most balanced transition model is to offload academic tracking to a free open-source system first, while keeping installment and invoice tracking inside the school’s existing accounting setup.

If you go open source, you’ll have to host it on your own server. Since you are storing student data in France, full GDPR compliance is mandatory. If a free cloud platform without automated daily database backups goes down tomorrow, the consulting fees you'd pay to recover report cards and ID info for 220 families would easily exceed the license cost.

We deployed a free open-source tool on a VPS for our 180-student preschool. Server cost is 15 euros a month. Grades and attendance are smooth, but we couldn't integrate billing; our accountant spends about 4 extra hours a month on installments, but we still saved 1,300 euros a year.

Invoicing and collections on free software are a pipe dream. If you collect monthly installments from 220 parents, you have to track delays and send automated reminders. If you do that manually on a free system your secretary will spend at least one full day a week on it—factor in the lost productivity too.

Don't stress too much for the first year. Just move grades and attendance to a free platform so parents can log in and view report cards and attendance records. Keep invoicing in your usual accounting workflow; if you try to pile everything onto a free tool all at once it'll turn into a complete mess.

Iron out these three points before switching: 1) Can you customize the report card templates to match your official curriculum? 2) Does bulk emailing to parents hit sending quotas? 3) Can you archive every student's full grade history to Excel or PDF at the end of the term in a single click?

You're right. Everyone rushing into school management software gets stuck at the same point.

In legacy systems, the most expensive thing is unknown dependencies. Just leaving this note it might be useful.
