we run a retail shop in central Strasbourg selling around 2,800 different SKUs across stationery office supplies and art/hobby items. btw for the past three years we've been tracking all stock movements, supplier orders and checkout sales manually using spreadsheets. it's just me and two employees working the store.

over the last few months our stock levels keep going negative. tbh whenever an employee makes a sale and forgets to deduct it from the sheet, an item physically on the shelf shows as out of stock on the sheet or the other way around. last week we accidentally double-ordered wholesale cases of the same erasers, tying up 800 EUR in cash needlessly.

i keep seeing open-source or cloud software offering "free inventory management," but part of me wonders if I should just optimize the Excel sheets with better formulas but i mean can free software handle this kind of volume, or is it time to bite the bullet and move to a paid commercal system?

Spreadsheets have zero data integrity controls. Typing a letter into a cell by mistake, deleting a row, or doing bulk actions with a filter active permanently corrupts historical records. Without a relational database, no setup can stay reliable in a three-user retail environment.

Don't even entertain the thought of sticking with spreadsheets. First thing you should do is get a handheld barcode scanner. Forbid the staff at the register from typing and searching product names; everything must be scanned and deducted automatically. There's no other way that inventory will ever balance.

Be very wary of free cloud inventory software. Tomorrow morning they could turn around and say the terms changed and demand 100 EUR a month, or charge you just to export your data. Don't sign up for any free cloud service unless you're 100% sure your data won't be held hostage.

if three people are trying to make sales in the same spreadsheet at once that sheet is doomed anyway. anyway staff forgetting things is totally normal the system should lock the checkout with a barcode so they can't mess up.

I went through something similar at my shop two years ago. A formula got messed up in the spreadsheet, and we promised 40 items to customers that showed as in stock, but there were none left in the warehouse. The hit to your reputation is priceless. Do all your current products have international standard barcodes or are you printing your own internal codes? Whether your labeling setup is ready or not will heavily impact the transition to any system free or paid.
