We are a team of five working in B2B consulting and digital marketing. Throughout the year, we attend industry events, trade fairs, and one-on-one client meetings. Up until now, we’ve been printing traditional paper business cards; printing around 250–300 high-quality cards per employee each year costs us roughly 200 EUR.

Lately, everyone is talking about NFC cards that work with a phone tap and QR code-based digital business card profiles. We're considering whether to go fully digital or adopt a hybrid model for our five-person team.

What I'm wondering is: Are these digital profiles actually practical, or just a passing fad? How does tapping a phone affect corporate perception from the client's perspective? Is it possible to set this up using one-time solutions instead of platforms charging monthly subscriptions?

A digital profile ensures your contact details are saved to the client's address book seamlessly with a single click.

On the technical side, there are two primary methods: dynamic QR codes and physical cards embedded with NFC. For a team of five, there is absolutely no need to pay 5–10 EUR per person monthly for specialized SaaS platforms. You can simply set up a clean subdomain or profile page under your own website and include a standard contact file (.vcf) download button. That way, full control over the data and design stays with your company.

For the physical card, you can opt for blank or custom-printed NFC cards purchased on a one-off basis. Writing the link to your web profile onto these cards takes just seconds using free mobile tools. When you tap the card against a client's phone in a meeting, your profile opens right up.

There's a crucial reality regarding usability: some executives in conservative or traditional sectors might hesitate to tap their phones against someone else's card, or their corporate devices might have NFC disabled. Because of this, your team should always keep 10–15 high-quality paper cards handy, while initiating the primary interaction digitally.

Make sure to use a dynamic link instead of a static QR code. If you embed a vCard into a static code, you'll have to trash the card whenever a phone number or job title changes. Setting up a redirect URL on your own domain lets you keep using the same card and QR code even if staff roles or phone numbers change down the road.

Last year we got custom printed NFC cards for our team of six. Paid a one-off 18 EUR each, came out to 108 EUR total. Didn't subscribe to any software, just routed them to the team page on our own site. Almost broke even on printing costs within a year, plus no more stress about running out of cards at expos.

I meet tons of people at trade shows, and having someone stick a phone out saying 'tap this' can sometimes stall the flow. If the screen is locked, the case is too thick, or the NFC chip doesn't pick it up right away, it gets awkward real fast. Handing over a paper card is still way faster and smoother imo.

heres a neat trick we use: we put the company logo and a personal vCard QR code right on everyones phone lock screen wallpaper then in meetings we dont even pull out a card just show the phone and the other person scans it with their camera in two seconds. costs zero and looks insanely tech-savvy.

definitely don't lock yourself into monthly subscription services... as the team grows, that monthly bill just piles up then getting one-off cards printed and linking them to a wordpress page is the cleanest way to go.

We need to make a distinction here. Mistakes made on the digital business card creation side are usually reversible but expensive.

The biggest time-waster for us was not knowing who had the final say. Good luck with that.

The opposite happened to me, that's why I'm writing. The answer varies greatly by industry; there is no one-size-fits-all rule.

Weekly written progress reports are much more useful than asking for dates. If I were you, I'd go this route.

i can't fully agree with this. when you try to chhange everything at once nothing settles.

if acceptance criteria aren't written, when the work is done is open to debate then like of course it varies if your situation is different.
