We're a 22-person company exporting industrial kitchen equipment. Our 7-person active sales and biz dev team attends at least 6-7 domestic and international trade shows a year. Up until now, we've been handing out thousands of printed business cards every quarter; not only was it costing us around 9,000 TL in print costs per quarter, but whenever someone's title or phone number changed entire boxes ended up in the trash.

Management decided to switch the sales team to an NFC- and QR-enabled digital business card system. Looking through digital business card examples online sparked a serious debate within the team. Some profiles include the employee's personal mobile, direct WhatsApp link, meeting calendar, and even home address and personal social media accounts. How should we strike the balance between corporate representation and employee privacy? What fields absolutely belong on a digital business card profile, and what must be left off?

Short answer: A digital business card profile should contain only the essential data that verifies corporate identity and facilitates business communication; personal social media accounts, home addresses, and direct personal calendar links must be left off entirely. Keep in mind that this info can be copied and saved by anyone, so it should be strictly limited to corporate communication channels provisioned by the company.

Standard, mandatory fields on a digital business card profile include: employee full name, corporate title, company email address, company switchboard or corporate mobile line, company website, and the company's official corporate social media profiles (not personal ones). It's also very useful to include a direct link to an up-to-date PDF product catalog so you don't have to lug physical catalogs around at trade shows.

Fields that must strictly be excluded are the employee's personal mobile number, home address, personal social media accounts, and open, unvetted meeting booking links. Open calendar links at a trade show result in random passersby or spam bots cluttering up your reps' schedules.

You should also pick a platform with a centralized corporate admin dashboard so that if an employee leaves, the company can deactivate the profile or reassign it to a new hire. Individual accounts make it all too easy for departing employees to walk away with the client portfolio tomorrow.

Under the KVKK, publishing an employee's personal mobile number or private social media accounts on public-facing profiles without their explicit consent creates legal liability for your company as the data controller. Contact details should be strictly restricted to phone lines registered under the company's name.

Set a hard rule right away: only company-issued SIM numbers go on the card. If you're adding a WhatsApp link, it should be a WhatsApp Business account set up on that number. When the employee leaves, the number and the digital card stay with the company.

Here's the checklist we created after browsing examples: 1) Mandatory: Full name, title, corporate email, company mobile, product link 2) Optional: Professional networking profile 3) Prohibited: Personal phone, personal socials, home address, open scheduling calendar.

We bought digital business cards for our 12-person export team last year. Paid a one-off 350 TL per card, and our annual print cost dropped to zero. At our first trade show, we noticed that 80% of clients just tap the save contact button and the WhatsApp link; nobody bothers with the other details.

People cram everything into digital business card examples just to make them look fancy. At a B2B trade show nobody wants to see a rep's photo album or personal posts. The more clutter you add the less professional it looks; 4 key fields that actually do the job are more than enough.

we added a calendar link once and after the expo every random insurance agent and consultant filled up the calendar. btw definitely do not put an open calendar massive headache.

At my previous company, one of our sales reps added their personal profile to their digital card. A client they met at an expo saw personal posts and made unprofessional comments, which triggered a whole crisis. We haven't allowed any non-company links since.

A business card is an introduction tool, not a résumé. Beyond corporate email, company phone, and a catalog link, everything else is just bloat.

I went through the same thing two years ago. Valuation methods for exits must be defined by formula; "market value" isn't enough.
