Digital business cards on iPhone: who handles implementation when nobody has the time?

We're a 5-person architecture and project management team based in Munich. We constantly hand out paper business cards at job sites, client meetings, and trade shows, but we want to switch to digital business cards on iPhone (integrated with Apple Wallet and NFC) to go greener and keep contact details up to date.

The issue is that all five of us are totally slammed. It's unclear who's supposed to design the cards set up and manage the profiles, or configure the Apple Wallet integration on everyone's phones. We don't have an IT person on staff. We work with an external freelance graphic/web designer who charges 60 Euro an hour, and we're considering offloading the setup to them.

What's the most practical way to handle this rollout without wasting internal team time? Should we hire the freelancer for a one-off setup or does it make more sense to assign this as an extra task to someone internally?

Short answer: Don't keep this in-house. Hand off the template design and technical setup to your hourly freelancer as a one-time gig, and have them put together a two-minute checklist so each team member can add the card to their own phone.

In a small five-person office, no one should be wasting billable hours setting up card profiles or generating Apple Wallet pass files. Scope out a 3–4 hour job max for your external freelancer: 1) Create a single Apple Wallet-compatible master template featuring your brand colors and logo, 2) Set up individual vCards and NFC links with each person's name title phone number, and email, 3) Email everyone their unique link. Based on their hourly rate, this setup will run you a one-time cost of roughly 180–240 Euro.

For rollout, have the freelancer provide a one-page visual PDF guide or a quick 60-second screen recording. Once iPhone users tap the link and hit 'Add to Wallet', it's done in 30 seconds flat. If contact details change or you hire someone new you can just tap the same freelancer for a half-hour revision fee. That way nobody on the core team gets pulled away from their actual work.

same exact thing happened at our Berlin office. everyone kept passing the buck dragged out for two months.. then finally tossed 150 Euro to a freelancer and they wrapped it up in one afternoon... took us literally a minute to add to our phones totally painless.

In small teams, delegating secondary technical tasks to partners or field architects usually results in the project sitting unfinished for months. Outsourcing the entire setup to a single point of contact is definitely the right move.

Apple Wallet passes require a web backend and signing certificates behind the scenes. If your freelancer tries to code this from scratch, it'll take hours and blow your budget. Tell them to pick an off-the-shelf digital business card platform and simply apply your brand styling to it.

For our 5-person team, we paid 180 Euro total for freelance work plus 20 Euro per person for physical NFC cards. Total bill was 280 Euro, but we haven't spent a dime on paper business cards in the past year, so the investment has already paid for itself.

Ask an architect to set up card profiles and they'll spend three days obsessing over logo alignment while completely ignoring the job site. Hand the task to the freelance designer and don't look back.

Does everyone on the team use company-issued phones and lines, or are they using personal iPhones? If they're BYOD, have you discussed with the freelancer how company contact data on the cards will be managed if someone changes devices?
